Executive Assistant to Chief Executive Officer Direct message the job poster from College of Acupuncturists of Alberta CEO, Registrar, & Complaints Director at College of Acupuncturists of Alberta Executive Assistant Position Title: Executive Assistant to the CEO Reports To: CEO/Registrar Employment Type: Full-Time Permanent (37.5 hours/week) Pay: $55-73K , competitive compensation package including benefits and RSP matching Location: Primarily Remote (½ day/wk in office – Edmonton, south side, free parking) Job Summary Reporting to the CEO of the College of Acupuncturists of Alberta (CAA), the executive Assistant delivers a wide variety of high-level support. You are proactive and detail oriented, with proven ability to work independently and meet deadlines. Key Responsibilities Support the CEO, including calendar and inbox management (Microsoft Outlook). Support the twice-yearly Alberta Acupuncture Registration Examinations by working with relevant staff to ensure a seamless exam administration. Monitor and respond to general email inquiries. Audit registration and renewal records to ensure regulated members are complying with registration and renewal processes, such as continuing competence activities, insurance, practice hours, etc. Manage the process and workflow for Council and committee administration. Attend meetings, develop agendas, write meeting minutes per Robert’s Rules, maintain action lists, follow up on action items and deliverables, ensuring adherence to Council and committee workplans. Be the key point of contact for committee members for logistical and administrative support. Assist CEO when required for Council administrative support. Manage onboarding for Council and committee members, including adding members to OnBoard and ensuring paperwork is complete. Qualifications & Skills Education: One-year certificate in Office Administration or a related field. Experience: Two years of related executive support experience. Very comfortable and self-sufficient with computers, including excellent working knowledge of common programs such as SharePoint, Outlook, Microsoft Office Suite, Adobe, and OnBoard. Excellent attention to detail, ensuring accuracy and thoroughness. Ability to self-manage and work independently with little supervision. Work Environment & Expectations The College primarily works remotely. The team generally meets once per week in its southside office for a 2-3 hour team meeting. During the winter months, meetings are more commonly virtual. Free on-site parking and convenient access to bus route. Meeting frequency is reviewed periodically to ensure good support for business operations. This role is ideal for a proactive, detail-oriented professional who thrives in a regulatory setting and enjoys facilitating operational responsibilities.
