Our client, a leading technology and social media company, is looking for a temporary Experience Associate, Places to support their Toronto office. This role will work closely with the Experience Manager, based in New York, and will serve as a key partner in supporting workplace operations, employee experience, and the upcoming office move.


This assignment starts in mid-October and will last approximately 6 months, with potential for extension. This is a new position.


The company is preparing to move into a new 9,000-square-foot office in January 2027, making this an exciting opportunity for someone with strong project management, organizational, and office operations experience.


Location: Toronto, ON – 1 University Avenue

Hours: 9am – 5pm ET, with flexibility for OT as needed

Fully onsite, Monday – Friday


Responsibilities:

  • Partner closely with the Experience Manager to support day-to-day workplace operations and projects.
  • Serve as a key support partner for the upcoming Toronto office move, assisting with planning, coordination, and execution.
  • Support the opening of the new Toronto office and help establish standard operating procedures.
  • Create an inclusive, organized, and dynamic workplace experience for employees and visitors.
  • Coordinate in-office catering and food deliveries, including ordering, setup, breakdown, and invoice review/submission.
  • Maintain the appearance, organization, and functionality of the office space and equipment.
  • Manage building maintenance requests and work with vendors to quickly resolve issues and emergencies.
  • Oversee office supplies, kitchen ordering, stocking, and general workplace needs.
  • Build and maintain relationships with landlords, vendors, and internal partners, including IT, HR, and local leadership.
  • Maintain accurate floor plans, seating charts, and office documentation.
  • Oversee room and desk scheduling through workplace booking platforms.
  • Maintain and update office resources, policies, expense reports, and other documentation.
  • Support client and visitor experiences within the Toronto office.
  • Assist with various administrative, operational, and ad hoc projects for the broader International Places team.


Qualifications:

  • 3–4+ years of office coordination, administrative support, workplace operations, or a similar role.
  • Experience in a technology, startup, creative, or fast-paced environment strongly preferred.
  • Experience supporting an office move, build-out, or workplace project is highly preferred.
  • Strong project management and organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills with the ability to interact professionally with employees, clients, vendors, and leadership.
  • Highly adaptable and comfortable managing multiple, shifting priorities in a fast-paced environment.
  • Strong problem-solving skills with the ability to take initiative and ask thoughtful clarifying questions.
  • Team-oriented, proactive, and resourceful with a true self-starter mentality.
  • Proficiency with Google Suite, including Google Docs, Sheets, and Slides.
  • Experience with workplace booking platforms is a plus.
  • Familiarity with general office maintenance, including electrical, plumbing, HVAC, security, and building operations, is a plus.
  • Must be comfortable working fully onsite, 5 days per week, in the Toronto office.
