THE OPPORTUNITY
Ownership of internal operations, with selective client delivery
Working closely with the CEO, you will translate priorities into coordinated action, run the Executive Operating System, manage public-sector procurement and proposal production, and manage the staff who support the business. Internal operations and Executive OS are the core accountabilities; client delivery is secondary and assigned only when it will not compromise operational coverage, procurement commitments or business continuity.
Your mandate is to build dependable operating capacity around the CEO. You will anticipate what is needed, exercise judgement within your authority and move work through completion. The role calls for someone who can improve a process, write a persuasive proposal, coach a colleague and produce thoughtful client work. You will have room to shape how mBolden operates, with clear accountability for results.
WHAT YOU WILL OWN
Internal operations and the Executive Operating System
– Run the daily and weekly operating rhythm. Translate business priorities into clear commitments, owners, next actions and deadlines; resolve routine issues and prepare focused CEO reviews. For matters requiring CEO input, frame the decision required, relevant facts, options where appropriate, your recommendation, implications and deadline.
– Own Executive OS in Notion as the central system for tasks, projects and priorities. Capture commitments from email, meetings and conversations; connect them to the relevant project or relationship and track them through completion.
– Make accountability visible. Maintain clear views of delegated work, items awaiting CEO input, overdue tasks and commitments owed by others. Set follow-up dates and escalate material risks with a recommendation and the decision required.
– Improve workflows, templates, reminders and approved automations. Check that they work, make failures visible and retain human ownership.
Business operations and portfolio management
– Maintain the engagement portfolio, including deliverables, client dates, dependencies, risks and resource needs. Identify conflicts early and recommend how to sequence work or add support. Maintain operational visibility into planned versus actual resourcing, scope changes, contractor commitments, billing triggers and potential margin erosion; escalate commercial risks with a recommended action.
– Own the integrated business operating calendar across advisory work, speaking, workshops, proposals, procurements, renewals and major internal commitments. Ensure milestones, preparation windows and dependencies are visible and coordinated.
– Manage client administration from signed SOW through onboarding and close-out, including vendor requirements, contract dates, billing milestones, extensions, feedback and follow-up.
– Own the sales-pipeline CRM within Executive OS, separate from the contact database used for email communications. Ensure every lead and client opportunity has a current stage, owner, next action and follow-up date; coordinate and track CEO-led business-development actions, proposals, renewals and relationship commitments so opportunities continue to move through the funnel.
– Organize records and deliverables in mBolden-controlled systems, linked to Executive OS. Coordinate access and handovers; safeguard client information and firm intellectual property.
Public-sector procurement
– Maintain mBolden’s presence across relevant procurement portals and systems. Keep registrations current, monitor posted opportunities and ensure required supplier information remains up to date.
– Review posted RFPs, RFQs, standing offers and vendor-of-record opportunities. Assess mandatory requirements, strategic fit, delivery requirements, timelines and pursuit effort, and flag potentially relevant opportunities to the CEO for a go/no-go decision.
– Treat each approved pursuit as a managed project. Build and maintain the submission plan, compliance matrix, workback schedule, contributor responsibilities, clarification deadlines, required attachments, approvals and final submission requirements.
