About the Role

The Finance Operations Associate builds and maintains the financial picture of our projects and events, tracks inventory and work in progress, and prepares the settlements owed under our venue and partner agreements. Where our Bookkeeper is accountable for the accounting record being right, this role is accountable for what the numbers in it mean for a file or an agreement.

Analysis is the defining feature of this role. A budget gets built from quotes, contracts and scope changes rather than copied forward. A variance gets explained to the manager who caused it, in words they can act on, while there is still time to do something. A settlement gets calculated from the terms of an agreement and the evidence behind it, and it has to hold up if anyone checks.

The role carries a standing authority that matters day to day. You can require receipts, supporting documentation, time records and account coding from anyone in the company, and you can hold a transaction until it is complete. You will not need permission to do your job.

The work sits inside a finance function that is still being built, in a company that is growing quickly. Systems, templates and written procedures are in progress rather than finished, and priorities move through the year. We would rather say that now than surprise you in month two. You will work closely with our Director of Finance, who works remotely, through a set weekly rhythm and clear approval paths.

Our work supports events with and for Indigenous communities, Survivors, and the wider range of partners and clients we serve. Much of the money that moves through this role belongs to someone else. We are looking for someone who treats that as the reason the work has to be right.

What You’ll Do

The first three areas below are the core of this role. The last is support work provided to our Director of Finance.

  • Project and Event Budgets : Build working budgets for assigned projects and events from approved quotes, contracts, and scope changes. Maintain the forecast of remaining costs and update it as scope changes. Identify material variances, explain the cause in writing, and report the position to the responsible department manager. Prepare financial closeout packages and departmental profitability reporting. Maintain claim expense and recovery schedules, and reconcile insurance and other recoveries to the expenses they offset. Flag accounts or coding that create reporting problems.
  • Venue, Partner and Commission Settlements : Prepare settlement statements under venue and partner agreements, applying the contracted rates, inclusions, and exclusions. Calculate commissions, facilitation and referral amounts, and allocate split commissions across the correct parties. Track performance against any minimum, guarantee or threshold an agreement carries, and report the position on the agreed cycle.
  • Inventory, Work in Progress and Capital Support : Maintain inventory and work in progress listings from the quantities the operational teams provide, and prepare valuations from approved costing information for review. Coordinate the operational detail and documentation behind asset additions, disposals and leases, and hand it to our Bookkeeper to record. Support the reconciliation of those records to the general ledger. The fixed asset register itself is maintained by our Bookkeeper.
  • Year-End and External Accountant Support : Prepare project, event, capital and inventory schedules for the fiscal year-end. Prepare continuity schedules for prepaid expenses, deposits and capital assets. Compile supporting documentation for our external accountants in the structure they request.
