As part of our commitment to delivering exceptional service and high-quality lighting solutions, we are seeking a dedicated Order Management Team Lead to join our team.The role of Order Management Team Lead creates an integrated service approach, providing exceptional support to our clients and agents, assisting Project Managers (PM) and Regional Sales Managers (RSM) to ensure key deadlines are met and high-quality lighting solutions are delivered. The role requires interfacing with Agents, PCs, PMs, Engineering and Supply Chain to coordinate order and project activities and deliverables effectively. This role requires constant communication with internal teams and customers from initial opportunity through to order shipment, the Lead acts as a central point of contact, ensuring accurate data entry. It is critical to provide a positive impression of GVA Lighting and our product, set proper expectations, manage tasks with efficiency and attention to detail, accurately communicate technical information, and successfully coordinate and complete assigned tasks.Order Responsibilities:In charge of order entry, ensuring accurate order release and approvals.Work with Sales, Applications, PC, PM, RSM, Planning, Production, Shipping and other Customer Service teams to quickly respond to customer inquiries and enter data accurately and in timely manner. Keep up to date with all the latest product developments and revisions. Coordinate with PC and PM to make necessary updates to ongoing projects to ensure latest products are being used.Provide exemplary customer service through prompt, constructive communication with sales agents and partners. Ensure order PCOs are entered and released timely and accurately.Compile and keep track of project documentation such as bid documents, submittals, layouts, BOMs, quotes, contracts, agreements, etc.Ensure that orders/projects are planned out to allow enough time for each department to execute while staying within lead time commitments. Understand the lead time needed for standard products, customizations, materials ordering and production scheduling.Communicate with the agent or customer any general order/project updates such as but not limited to Estimated Ship Dates (ESD), Sales Order (SO) number, Lead Time (LT), tracking number, packing slips; collaborate with PM for escalations.Coordinate and follow-up internally to ensure timely, professional communication and the delivery of accurate information to clients.Resolve customer complaints and establish corrective action plans. Record and manage project activities in ERP and CRM systems and ensure all records are up to date.Provide administrative support to team members as needed.Other duties as required including general office duties.Opportunity Responsibilities:Thorough, up-to-date knowledge of the latest pricelist and supporting technical documentation. Support PM/PC by creating and coordinating pre-order Product Customization Orders (PCO).Take charge of GVA Sample procedures and being samples inventory lead, actively assist with sample quotation, help supply samples and any other support material.Help entering quotes into ERP & CRM systems; ensure accuracy of BOMs, quotations.Record project activities and client information using company ERP & CRM systems.Support Inside Sales team and take charge of samples and its process.Ensure accuracy of BOMs, quotations; help entering quotes into ERP & CRM systems.Help Inside Sales Team with other tasks to balance workload as needed.Qualifications & Abilities:Management or Technical degree;5+ years of progressive experience in order management and/or coordination positions;Ideally you have experience with manufacturing or made to order environments;An experienced user of Excel, ERP systems (Epicor a plus), and any other project management tools;Excellent Communication SkillsYou are tenacious, curious and a solution-oriented team player;A problem solver, you know how to overcome hurdles without losing a beat;Comfortable in a fast paced, electronic technology and engineering-based environment;When needed, you will have an attitude of "I'll take this into my own hands" to resolve situations.Why join the GVA team?We are an exceptional and talented team who believe in the GVA vision and share the GVA values.
