Primary Focus
The Project Coordinator is responsible for the coordination of projects, including developing and maintaining schedules and milestones, and monitoring timelines, with the goal of achieving project objectives within given constraints.
What do the daily responsibilities look like?
On any given day, the Project Coordinator will be responsible for:
Project Coordination
- working with the Project Management Office (PMO) to develop project schedules and milestones for smaller projects
- working closely with project managers and the review teams to ensure the timely and accurate delivery of all project-related documents
- tracking pending submissions and assessing for completeness in accordance with established guidelines
- coordinating meetings and leading follow-up with participants as well as partners and customers to ensure deliverables are on time
- accurately completing data entry on assigned projects to ensure the quality of organizational data
- formatting technical documents to ensure compliance with templates and document management principles (i.e., redaction and security)
- working with the PMO to coordinate external resourcing (may include expert and contracting support) as required
- acting as a backup to the project coordinator within the PMO as needed.
Reporting and Communication
- working with the PMO to support the preparation of timely, accurate reports on pending submissions, project status (including closeout), resource capacity, budget, and other metrics for organizational leadership to support forecasting and resource planning
- supporting document management and distributing project material to internal and external partners, which includes coordinating with the publishing team
- preparing and sending final reports and performing project closeout activities
- supporting the project manager by updating project schedules and milestones for projects
- assisting organizational committees and working groups by overseeing the preparation, finalization, and posting of committee meeting briefs and documents
- documenting, maintaining, and updating organizational project coordination processes in collaboration with the PMO, employees, and partners to ensure best practices and quality indicators are followed (includes operationalizing new program processes and contributing to the ongoing evolution and process improvement of project workflows by identifying areas for continuous improvement).
Is this the right role for you?
The Project Coordinator will likely have:
- a college diploma in business or a related field and 2 or more years of experience supporting project management (gathering information and updating project data; maintaining project forms, templates, and tools; producing project reports; and supporting project managers)
- advanced computer skills using the Microsoft Suite of tools, specifically Project, SharePoint, Word, Outlook, Excel, and PowerPoint
- experience in the application of project management principles and the implementation of best practices
- proven time management and prioritization skills to effectively manage multiple tasks and meet established deadlines
- the ability to proactively solve issues
- excellent attention to detail
- the ability to work in a fast-paced environment and adapt quickly to changing priorities
- ability to exercise discretion in handling sensitive situations and maintaining confidentiality
- professionalism and interpersonal skills needed to communicate (orally and in writing) effectively with internal and external partners.

- completion of project management courses
- Certified Associate in Project Management (CAPM) accreditation or working toward accreditation
- related experience with a not-for-profit health research organization
- fluency in French.
