The Scheduling Assistant supports the smooth operation of NEXUS Community Support Society by helping ensure staff schedules are accurate, balanced, and responsive to the needs of the people we support. Working closely with the Payroll Manager and Leadership Team, this role helps maintain consistency, fairness, and reliability in scheduling while reflecting NEXUS's values of inclusion, respect, and collaboration. The Scheduling Assistant contributes to our shared goal of fostering belonging and independence by supporting employees and ensuring continuity of care across our programs

Friday – Tuesday including statutory holidays (paid as per Employment Standards Act), 7.00am to 3.00pm pacific time 0.5 hour unpaid lunch, 7.5 hours paid/day

Location: Kamloops, BC Status: Full Time, Permanent

Key Duties & Responsibilities

– Assist Scheduling Coordinator and Leadership Staff in assigning and scheduling employees.

– Contact staff to fill vacancies in accordance with applicable collective agreements.

– Post rotations, provide reports for after-hours scheduling, and update employee files as required.

– Maintain accurate phone numbers and timekeeping records for all staff, process requests such as shift changes, vacations, and leaves of absence by forwarding documentation to appropriate department heads for approval, and communicate decisions to employees as required.

– Perform data entry and reconcile timecards; verify timekeeping records and consult employees about any discrepancies, if requested by Payroll Manager.

– Maintain related records in accordance with established policies and guidelines and produce reports as required.

– Perform other related duties as required.

Requirements

Qualifications

Certificate or Diploma in Office Administration, Business Administration or related field.

One (1) year recent related experience.

Or an equivalent combination of education and experience.
