Overview
Sullivan + Associates Clinical Psychology is seeking a highly organized and dependable Assessment Coordinator to join our team for a 12-month maternity leave contract. This role is central to helping our Psychologists deliver high-quality psychological assessments across Northwestern Ontario, including travel-based assessment runs and services for local and outlying school boards and partner organizations.
The ideal candidate is someone who thrives in a fast-paced environment, communicates clearly, and enjoys managing multiple moving parts while supporting both clients and clinicians.
Key Responsibilities
- Coordinate all out-of-office and travel-based psychological assessments, including scheduling, booking, and logistical planning
- Maintain communication with school boards, community partners, and remote sites to secure rooms, arrange schedules, and confirm assessment details
- Support clients, caregivers, and special education personnel through the intake and pre-assessment process
- Manage referral information, documents, and data entry within our practice system clinicians have the required materials, files, and information for each assessment run
- Monitor timelines, follow up on outstanding forms or consent documents, and maintain accurate records
- Collaborate closely with our Assessment Intake Specialist, Assessment administration staff, Psychometrists, Psychologists, and Office Manager to ensure workflow efficiency
Qualifications
- Experience in scheduling, coordination, or administrative support (healthcare or education is an asset)
- Exceptional organizational skills with strong attention to detail
- Ability to adapt to changing schedules and priorities
- Strong written and verbal communication skills
- Comfortable working with digital systems (experience with practice management software is an asset)
- Ability to maintain professionalism, confidentiality, and accuracy in all client interactions
