About the Role We're looking for a highly organized, proactive, and detail-oriented Project Management Coordinator based in LATAM to support our Project Management team in delivering marketing campaigns efficiently and effectively. This part-time position is ideal for someone early in their career who thrives in a fast-paced environment, enjoys collaboration, and wants to grow within the digital marketing and production space. You'll play a key role in keeping projects on track by coordinating tasks, maintaining documentation, handling logistics, and supporting reporting. You will also be expected to leverage AI tools to enhance workflow speed, clarity, and overall team efficiency.What You'll DoProject Coordination & Collaboration
  • Support Project Managers in maintaining timelines, task assignments, and project documentation.
  • Organize internal documents, campaign assets, workback schedules, and create templates as needed.
  • Assist in building project plans and internal process documentation.
  • Support internal process-improvement initiatives and administrative projects.
  • Track tasks and team progress using ClickUp and other internal tools.
  • Schedule meetings, prepare agendas, take notes, and follow up on action items.
  • Maintain consistent communication with team members to support accountability.

Production & Execution Support
  • Assist Project Managers with digital, print, and out-of-home (OOH) production logistics.
  • Support influencer coordination and communication when needed.
  • Conduct initial quality checks on deliverables before client submission.
  • Assist with asset preparation, information gathering, and stakeholder briefings.
  • Keep documentation, project records, and time tracking accurate and up to date.

Reporting & Administrative Support
  • Help compile data and documentation for reporting.
  • Contribute to status reports, dashboards, and resource updates.
  • Ensure shared folders, naming conventions, and archived records are organized.

AI & Digital Fluency (Level 2 – AI-Enhanced) You will be expected to:
  • Use tools such as ChatGPT, Claude, ClickUp AI, and Google AI for meeting notes, timelines, task lists, and template creation.
  • Adopt AI tools to improve planning, documentation, and task setup.
  • Proactively explore new AI features to streamline repetitive tasks and share findings with the team.
