Job Description 

Reporting to the Director, Strategy Enablement, the Project Manager, HR Operations will be responsible for leading the end-to-end delivery of projects that drive improvements across HR Operations, including Payroll, and related systems. The role will begin with a primary focus on implementing negotiated Collective Bargaining Agreements (CBAs)—ensuring all system, process, and communication updates are executed on time and with accuracy. Over time, the role will evolve to support broader HR Operations initiatives, including payroll annual cycles, cyclical HR programs, and operations governance forums.

The successful candidate will bring strong project management, critical thinking, attention to details, and a desire to "dig in" to learn the business while being mindful of the strong culture and commitment of the Company to provide care and services to our residents and support our team members across Canada as we "help people live better".

This position will be based at our Head Office in Markham, Ontario. Extendicare offers a hybrid working environment.

Key responsibilities include:

  • Lead multiple concurrent HR Operations projects, managing timelines, scope, and deliverables across diverse functional areas.

  • Manage end-to-end CBA implementation from requirements intake through configuration, testing, validation, communication and pay execution.

  • Track CBA and HRIS implementation deadlines, coordinate with Labour Relations (LR), technical, and operational teams, and address risks to keep all implementation activities on schedule.

  • Lead stakeholder engagement and cross-functional meetings (LR, HR, Payroll, Finance, Operations), building buy-in and clear decision paths.

  • Partner closely with LR, HR and HRIS teams to translate business needs into implementation requirements.

  • Coordinate dependencies across integrations (time, payroll, finance/GL, identity/access), aligning environments, test data, and release schedules.

  • Identify and manage risks across internal and external team using RAID logs; develop mitigation and contingency plans; escalate decisively with options.

  • Provide clear status reporting, dashboards, and executive updates on milestones, timelines, decisions, and impacts across site operations and senior leadership.

  • Collaborate with HR Operations leadership to establish standardized governance practices, templates, and project tracking tools.

  • Perform other duties as assigned to support evolving HR Operations needs.

What we're looking for:

  • Proven experience delivering projects with enterprise HRIS components and leading systems migrations with cross-functional teams; able to effectively communicate effectively with technical teams.

  • Knowledge of unionized environments and collective bargaining agreement (CBA) implementations, with the ability to align project plans to CBA-driven timelines and operational constraints is a strong asset.

  • Experience with M&A integration or separation, including familiarity with system migration and data transition across HR, Payroll, or IT, is an asset, but not required.

  • Post-secondary degree in a relevant field; preference for Business Administration or equivalent practical experience.

  • Minimum 5 years of relevant project management experience.

  • Proficiency with Microsoft Office and collaboration platforms (Word, Excel, PowerPoint, Teams/SharePoint); comfortable with project tracking/reporting tools (MS Projects, Smartsheets, etc).

  • Demonstrated ability to manage timelines and deliverables for system updates or integrations within HRIS or payroll platforms (such as Workday), including coordinating with technical teams and troubleshooting issues.
