Glassford Chrysler located in Ingersoll Ontario has been in business over 55 years and is well known for its quality and customer service. We are currently seeking an energetic and motivated Appointment Co-Ordinator to join our team. The successful candidate will be passionate about helping customers with their vehicle servicing and building long-term relationships.

The primary function will be handling incoming calls to book customer service appointments, placing outgoing customer satisfaction followup calls to recent customers, cover service advisors for lunches and vacations, greeting customers, cashiering customers, helping move or shuttle vehicles and or customers and other duties as assigned by service department. Further responsibilities will be handling customer warranty digital imaging submissions and coordinating with bodyshop and rental agencies to complete customer work.

Successful candidate will be cross-trained on many aspects of service to cover various positions during vacation and sick days. Must be comfortable on the phone and able to multitask and be flexible.

Other responsibilities include but are not limited to the following:

  • Knows and applies to each transaction all steps of the Dealership service strategy
  • Maintains a clean and professional appearance
  • Assists in writing up customers and ensures write up area is clean and neat
  • Handles all incoming telephone calls promptly and courteously
  • Makes outbound calls to book customer appointments and advice when parts are in
  • Follows all company and manufacturer policies and procedures
  • Understands and applies factory and aftermarket warranties
  • Coordinates appointments with customers
  • Arranges loaner vehicles or other transportation for customers
  • Works in close conjunction with shop regarding work mix and hours allocated for maximum time efficiencies
  • Notifies customers immediately upon receiving inspect and report results
  • Verifies completion times and/or delays with shop
  • Notifies customers of any delays or changes in delivery
  • Road tests when necessary with customer to determine problems
  • Tags keys and walks to vehicle with customer
  • Notes any visible damage and tells customer appropriately
  • Deals with Technicians when necessary
  • Processes work orders
  • Handles customers in a courteous, patient manner
  • Ensures all appropriate legislation is adhered to
  • Attends training/seminar courses as required

Requirements:

  • Positive attitude and results oriented.
  • Comfortable on the phone
  • Ability to multitask and be flexible
  • Previous experience as a service advisor an asset
  • History of delivering exceptional customer service.
  • Knowledge of vehicles and repairs.
  • Experience with Dealership Management Software an asset.
