Job Summary
UBC's Learning Technology Innovation Centre (LTIC) mandate is to catalyze and elevate learning technology application, innovation, and inquiry at UBC. Under academic leadership, LTIC is charged with meeting UBC's needs for faculty and students in using and transforming learning technology, including playing a pivotal role in the support of Artificial Intelligence in research, development, and education, across the entirety of UBC.
The position supports LTIC's operational effectiveness by managing LTIC institutional and operational data, administering key internal systems and tools, and ensuring compliance with security and process standards. It develops and maintains the unit's reporting practices, procurement workflows, and technical resources to support day to day operations and help the unit work more efficiently.
Organizational Status
The Learning Technology Innovation Centre (LTIC) enables innovative and responsive learning experiences for students and serves faculty as a trusted partner in advancing pedagogical transformation. The unit supports learning technology, evolving needs related to AI in teaching and learning, and faculty-driven innovation and inquiry to enhance the learning experience.
The Operations Analyst reports to the Associate Director, Strategy and Operations and takes direction from the Academic Director and other members of the LTIC leadership and team leads. The Analyst works closely with all LTIC teams, as well as colleagues in UBC-IT, CTLT and the VPA finance team.
Work Performed
Specific Duties:
- Design, implement, and maintain LTIC institutional data to ensure LTIC can meet its performance and efficiency reporting responsibilities
- Perform analysis and visualization of the unit's operational and institutional data to further the unit's reporting and efficiency responsibilities
- Perform system administration-level tasks for internally used tools and technology, ensuring compliance with security and systems processes and standards
- Collaborate with other teams across LTIC as needed to fill system administration or software ecosystem pilot capacity gaps
- Establish procurement processes and tools that strengthen operational effectiveness, improve tracking and reporting, and ensure alignment with institutional policies
- Ensure that the LTIC teaching-practice facing resources are meeting stakeholder needs and reflect up to date technical instructions for navigating a range of pedagogical and technical challenges in teaching
Core Duties:
- Consults with users to carry out business process assessments utilizing a structured requirements process (gathering, analyzing, documenting, and managing changes) to identify business priorities.
- Documents business requirements and the definition of business rules.
- Prepares functional, system and program specifications.
- Develops test cases and validates test results during user acceptance testing and system acceptance testing stages. Typically performs functional testing.
- Investigates, resolves and/or escalates problems.
- May provide input to project status reports.
- Participates in the assessment of new technology to support business goals.
- Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools.
- Performs other related duties as required.
Consequence of Error/Judgement
This position works independently with guidance and must exercise a high degree of judgment, discretion, and initiative. The role is responsible for making professional decisions and recommendations that influence the success of projects vital to the Unit's strategic objectives. Because the position has access to sensitive and confidential information, errors in judgment, data handling, or project coordination could compromise data security, damage relationships with faculty or partners, delay project timelines, or affect the Unit's ability to deliver on key commitments. Careful attention to detail, adherence to protocols, and sound decision-making are essential.
Supervision Received
Reports to the Associate Director, Operational Strategy and Administration. Works independently with guidance from the Academic Director and program and project leads, depending on the project. Performance is evaluated against set goals and expectations.

The position does not supervise staff, but may supervise students.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
- Graduate degree in a relevant field is considered an asset.
- Fluency with Python, Django, D3, PHP, and scripting languages
- Experience working within an academic or postsecondary environment is an asset.
- Strategic and systems thinking capabilities, along with strong attention to detail and the ability to maintain a broad perspective.
- Experience in project coordination and/or project management is preferred.
- Strong communication and collaboration skills; ability to work effectively with a wide range of partners and subject-matter experts.
- Demonstrated ability to be both intuitive and analytical is an asset.
- Well-developed time management and organizational skills are preferred.
- The ability to work independently in a self-directed manner and to take initiative with assigned tasks is an asset.
