Position Summary
Administrative Assistant - Laboratory Medicine
This Position performs as an Administrative Assistant to the department of Laboratory Medicine. This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for staff, physicians, leaners, volunteers, patients and families.
In this position, you will have the accountability for visibly role modeling the values and attributes of staff working in a hospital focused on quality, safety, risk and patient- and family- centered care. You're a great relationship builder and foster close contacts with peers across the entire organization. You have great interpersonal skills, and effortlessly connect with physicians, staff, patients, and families. You have effective organizational, problem-solving, prioritization, and time management skills. You are able to prioritize and meet deadlines and work under pressure. This position supports the Hospital's academic mandate by advancing care through teaching and learning and/or transforming care through research and innovation.
On a practical level, you will
Maintain all personnel files and records in compliance with hospital policy and provincial lab regulations.
- Have knowledge in Microsoft Word, Excel and PowerPoint.
- Provide secretarial and administrative support for Lab Director/Managers, Medical Director and medical staff of Laboratory.
- Be responsible for OHIP billing and sending invoices for consult cases.
- Perform data entry of external laboratories reports and statistical information in the Laboratory Information System to ensure accurate and up-to-date records.
- Document and distribute minutes for meetings
- Coordinate staff meetings.
- Prepare Newborn Screening results for scanning.
- Submit monthly invoices to Seniors Health Centre.
- Provide monthly notices to patients about their transfusion information.
- Complete Kronos entry for office staff and pathologists.
- Be responsible for booking meetings and manages the Lab Conf Room schedule.
- Ensure pathologists on call schedules are distributed monthly to the appropriate areas.
- Comply with Occupational Health and Safety Standards
- Perform other duties as assigned.
Qualifications
Secretarial Courses or diploma or certificate in Office Administration.
EXERIENCE REQUIRED:
- Recent experience with a variety of computer applications, i.e., Microsoft word, Excel, PowerPoint.
- Extensive calendar management experience.
- Experience with database development and management (i.e. Access).
- At least four years in administrative assistant position.
QUALIFICATIONS PREFERRED:
- Undergraduate degree.
- Recent Courses in Computer Applications, including Outlook, Word, Excel, Access, Visio.
- Previous electronic payroll experience.
REQUIRED SKILLS:
- Excellent organizational and problem-solving skills.
- Excellent interpersonal and customer service skills.
- Demonstrated knowledge/skill at an advanced level of computer software, e.g., Word, Excel, PowerPoint, Access, Visio.
- Excellent written and verbal communication skills.
- Ability to work independently.
- Accurate minute taking and filing skills
- Accurate typing skills-minimum 55 wpm.
- Ability to utilize standard office equipment and order routine supplies.
- Ability to prioritize, multi-task and effectively manage time and balance schedule of Program/Medical Directors.
- Resourcefulness and ability to adapt in response to Program's needs.
- Knowledge of Medical terminology an asset.
- Bilingualism in French/English preferred.
