Leggat Auto Group is looking for a Fleet Administrator / Delivery Coordinator to join our fleet department This role is responsible for supporting the day-to-day administrative and logistical functions of the dealership's fleet Department. This includes ensuring the accurate processing of fleet orders, coordination of vehicle deliveries, and clear communication between internal departments, customers, and external partners. The successful candidate will play a key role in maintaining operational efficiency, compliance, and a high level of customer satisfaction. This is a full-time position, working primarily from our Burlington Chevrolet Cadillac Buick GMC dealership with some travel between our other dealerships in the Burlington area required.

Key Responsibilities

Fleet Administration

  • Process incoming Commercial / fleet orders from order placement through delivery
  • Prepare and verify all required fleet documentation, including contracts, invoices, registration, licensing, and compliance paperwork
  • Maintain accurate records in dealership management systems (DMS) and fleet tracking tools
  • Ensure fleet files are complete, accurate, and audit-ready
  • Support the Fleet Manager with reporting, order status updates, and administrative tasks

Delivery Coordination

  • Coordinate vehicle deliveries and pick-ups with customers, upfitters, transport companies, and internal departments
  • Schedule and track delivery timelines to ensure commitments are met
  • Liaise with Service, Parts, Sales, and accounting departments to ensure vehicles are delivery-ready
  • Arrange vehicle inspections, upfitting schedules, and pre-delivery requirements
  • Confirm delivery details with customers and provide clear communication throughout the process

Customer & Vendor Communication

  • Serve as a secondary point of contact for fleet customers regarding delivery status and documentation
  • Communicate with OEM representatives, upfitters, transporters, and licensing agencies
  • Respond promptly and professionally to inquiries and resolve delivery or documentation issues

Compliance & Process Management

  • Ensure all fleet transactions comply with OEM, dealership, and regulatory requirements
  • Follow established fleet processes and contribute to continuous improvement initiatives
  • Identify and escalate delays, discrepancies, or risks impacting delivery timelines

Work Environment

  • Office-based role within a dealership environment
  • Regular interaction with internal departments and external partners
  • May require occasional flexibility to support delivery schedules

Qualifications & Experience

  • Minimum 2–3 years of administrative, logistics, or coordination experience (automotive or fleet experience preferred)
  • Strong organizational and time-management skills with attention to detail
  • Proficiency with dealership systems (DMS), Microsoft Office, and fleet/order tracking tools
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
