*Overall Purpose*
Reporting to the Program Manager INTERSECT, the Program Coordinator INTERSECT is responsible for providing program support including:

  • Provide support for the INTERSECT 2.0 project planning and implementation.
  • Assist the INTERSECT Program Office in meeting annual commitments to objectives and deliverables outlined in the INTERSECT strategic plan and / or the Program framework.
  • Provide support for the current INTERSECT Program and the Program Coordinators and / or Constables assigned to INTERSECT to ensure partners and stakeholders are provided with a collaborative approach to all-hazard planning, which will mitigate the effects of potential threats and vulnerabilities to their operations, as well as enhances public safety and awareness during times of planned events and unplanned incidents.

*Major Responsibilities*
Provide support for the INTERSECT 2.0 project planning and implementation.

  • Create and maintain program and project management tools and standards to support the Program and its stakeholders (i.e., planning, tracking, and reporting on outputs and outcomes, information and logistics management, financial planning and tracking, risk and issue tracking, problem, and change management, etc.).
  • Assist in preparing meeting agendas, briefing packages and summaries for all meetings pertaining to the INTERSECT Program and its core initiatives for Program governance bodies and stakeholders.
  • Maintain accurate records regarding decisions made pertaining to overall Program operations and initiatives.
  • Facilitate the collection, and communication/implementation of lessons learned and continuous improvement components to ensure that the INTERSECT Program continues to meet partner and stakeholder needs.
  • Provide recommendations for change to existing processes or implementation of new processes.
  • Provide assistance to the OPS rollout of the NCR Critical Incident Response Structure (NCR CIRS) project/program.
  • Provide assistance to the National Capital Region Strategic Security Council (NCRSSC) Secretariat and the various working groups and sub-committees.
  • Answer questions about and maintain the content of the INTERSECT Situational Awareness Network (ISAN), including a comprehensive calendar of events from all NCR partners in both provinces.
  • Maintain the Program member contact/distribution lists through both Outlook and an Excel spreadsheet, Signal, Rave and ensure up-to-date activation and notification procedures.
  • Maintain the membership contact list, individual partner distribution lists, Liaison Officer group and ensure an offline version of the same is updated regularly.
  • Develop and maintain a stakeholders' map, defining the interests and footprint of each organization.
  • Serve as Program Champion and the liaison between the various Program partners, stakeholders, and Liaison Officers.

Assist the INTERSECT Program Office in meeting annual commitments to objectives and deliverables outlined in the INTERSECT strategic plan and / or the Program framework.

  • Maintain Program artefact database (V drive) and Program Office documentation. Ensure Program corporate knowledge is properly documented and filed, in accordance with the OPS Data Retention project/program.
  • Maintain the Program documentation (Strategic Plan, Program Framework, reporting documentation, project management documentation, etc.).
  • Maintain statistics which will assist with preparing the quarterly reporting and the annual Program action report.
  • Maintain training records and research training opportunities for the Program team.

Provide support for the current INTERSECT Program and the Program Coordinators and / or Constables assigned to INTERSECT to ensure partners and stakeholders are provided with a collaborative approach to all-hazard planning, which will mitigate the effects of potential threats and vulnerabilities to their operations, as well as enhances public safety and awareness during times of planned events and unplanned incidents.

  • Assist with communications during times of rest, and during times of activation (planned events, unplanned incidents).
  • As required, assist with the appropriate dissemination of any Situational Awareness information on behalf of all Program partners to the appropriate level of stakeholders, agencies and individuals involved in Program activities pertaining to both planned events and unplanned incidents.
  • Assist with communications before, during and after planned and unplanned events and incidents.
  • Ensure events/incidents are properly archived, in accordance with the OPS Data Retention project/program.

Statement Of Required Qualifications
Education and Experience

  • Two (2) year relevant College Diploma in Police Foundations, Social Sciences, Business Administration and / or another relevant diploma.
  • Experience and formal training combined may substitute for stipulated education requirements.
  • Minimum three (3) years relevant progressive experience providing administrative and / or operational support in a police or comparable environment working with and maintaining highly confidential records including:
  • Experience managing complex relationships, inter-jurisdictional or inter-departmental relationships.
  • Experience with and advanced knowledge in various types of office software products, such as Microsoft Project, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, Microsoft SharePoint, and other corporate software packages related to a project environment.

Language

  • English – fluency in oral, reading, and writing.
  • Bilingualism (French) is required. Candidates may be required to provide a certificate of achievement for Advanced Level II proficiency in French (oral expression / comprehension and reading comprehension) from the current OPS approved testing facility.

*Effort and Working Conditions*

  • Work is generally performed in a standard office environment with minimal adverse working conditions.
