The Position:
As a
Property Management Assistant
, you will play a key role in supporting the Property Management team across a
mixed-use portfolio
, including commercial, retail, industrial, residential, and strata assets. Reporting to senior property management leadership, this position provides exposure to all aspects of property operations and administration and offers a strong foundation for career advancement into property management.
Key responsibilities include:
- Maintaining tenant records, contact information, and internal tracking systems (Yardi)
- Managing file maintenance, databases, spreadsheets, and contract binders
- Preparing, reviewing, and updating monthly management reports
- Drafting and distributing tenant correspondence, memos, and welcome packages
- Reviewing and coding invoices
- Processing lease documentation, tracking lease expiries, and preparing lease summaries
- Assisting with leasing activity, including support for new residential developments
- Tracking service contracts, expiries, insurance certificates, and vendor documentation
- Liaising with residential and commercial tenants and third-party vendors
- Coordinating and tracking repairs and maintenance requests
- Assisting with contract reviews and obtaining service comparable (landscaping, snow removal, HVAC, etc.)
- Providing administrative support to property management and maintenance leadership as required
The Requirements:
- Minimum
3 years of experience
in property management - Strong understanding of the tenant–landlord relationship
- Experience working with
Yardi
and lease documentation - Highly organized with strong time-management and prioritization skills
- Detail-oriented, diligent, and proactive
- Able to work independently while contributing to a team environment
- Comfortable in a fast-paced, high-volume setting
- Strong written and verbal communication skills in English
- Positive, "can-do" attitude with a willingness to take initiative and learn
