Position Overview:
Lambert Nemec Group, Winnipeg's leader in Permanent Recruitment, has partnered with our client to recruit for an Executive Assistant who will provide dedicated, high-level support to senior leadership. This role requires a professional, proactive, and experienced Executive Assistant who thrives in a fast-paced, evolving environment. The ideal candidate excels at managing complex priorities, supporting strategic initiatives, and bringing structure, clarity, and efficiency to the executive office.
Responsibilities:
Manage the executive's calendar, schedule meetings, and resolve conflicts efficiently.
Oversee email inboxes, draft correspondence, and prepare documents and reports.
Coordinate internal and external meetings, including agendas, materials, minutes, and follow-up actions.
Maintain organized digital and physical filing systems and ensure records stay up to date.
Support major projects by tracking deadlines, deliverables, and required documentation.
Arrange travel, prepare itineraries, and process expenses with accuracy.
Assist in planning events, conferences, stakeholder meetings, and team off-sites.
Post approved content to social media and make basic website updates as needed.
Act as a key point of contact, handling inquiries with professionalism and discretion.
Anticipate executive needs, prepare materials in advance, and monitor priority files.
Support external relationship management through follow-up communications and tracking engagement.
Manage general office operations including supplies, vendors, and workspace organization.
Take on additional administrative or project tasks as required.
Requirements:
3-5 years of proven experience providing executive-level administrative support.
Experience supporting senior leadership in a fast-paced or growth-oriented environment; experience with board or committee support is an asset.
Strong proficiency with Microsoft 365 (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills with the ability to draft, edit, and proofread documents with precision.
Exceptional organizational skills and strong attention to detail.
Ability to manage multiple tasks and competing deadlines with minimal oversight.
Professional judgment, integrity, and discretion when handling confidential information.
Experience with filing systems, document management, and process organization.
Rewards:
Salary range $50,000 - $65,000.
