The Project Administrator provides critical administrative support to the on-site project team, ensuring seamless operations across multiple remote sites during the winter ice road season. You will manage documentation, data integrity, scheduling support, payroll and timekeeping coordination, and risk/safety administration. This role requires strong process discipline, excellent MS Office skills, experience in remote project environments, and the ability to thrive in a rugged Arctic camp.

Key Responsibilities

Admin Operations & Coordination

  • Maintain and improve administrative processes across multiple remote sites (documentation standards, filing systems, version control, audit trails, templates).
  • Manage electronic and paper-based documentation, ensuring accuracy, timeliness, and accessibility for audits and client invoicing.
  • Support site leaders with calendar management, travel coordination, and meeting logistics.

LEM System & Invoicing Support

  • if applicable, assist with Labour, Equipment, and Material (LEM) data entry and client billing workflow, ensuring data integrity and timely invoicing.

Timekeeping & Payroll Support

  • Support accurate timekeeping and payroll data for field personnel; ensure adherence to company policies and data confidentiality.

Scheduling & Reporting

  • Use Microsoft Excel (and other tools) to support scheduling, tracking, and reporting for field operations; develop and maintain efficient workbooks and dashboards.

Documentation & Compliance

  • Maintain safety, risk, and compliance documentation; ensure quick access during audits or incidents.
  • Contribute to risk management and safety documentation practices; implement controls to prevent data errors from propagating to clients or finance.

Quality Control

  • Design and implement basic quality checks for administrative data; identify and resolve discrepancies proactively.

Site Support & Communication

  • Serve as a liaison among field personnel, site leadership, and head office; ensure clear and timely communication on admin matters.

Qualifications & Experience

  • Minimum 2-4 years of experience as a site administrator or project administrator in remote, project-based environments (FIFO or similar).
  • Demonstrated experience with administrative processes in remote camps or sites; familiarity with multi-site coordination is a plus.
  • Familiarity with invoicing workflows; knowledge of LEM System (Labour, Equipment, Material) or client billing processes is an asset.
  • Proficiency in Microsoft Excel (advanced functions) and MS Office suite; ability to build and share practical workbooks and dashboards.
  • Experience with data integrity, document control, versioning, and auditing trails.
  • Understanding of timekeeping, payroll processes, and confidentiality requirements.
  • Strong organizational skills, attention to detail, and the ability to manage competing priorities.
  • Excellent communication and teamwork skills; capable of working independently with limited supervision.

Preferred Certifications (or willingness to obtain)

  • Office Administration or Relevant years of experience
  • First Aid/CPR
  • WHMIS or other workplace safety certifications
  • Any remote-site or camp administration certifications

Physical & Location Requirements

  • Comfortable working in Arctic remote camp environment; ability to work 12-hour days.
  • Prepared for extended periods away from home in a seasonal assignment on a 3/3 rotation.

  • Remote, Arctic camp with seasonal operations for Ice Road Project.
