Job Overview: Reporting to the school administration, the Secretary with Office Assistant, will provide administrative and leadership support to principal/delegate by organizing and coordinating the office workload. This position is responsible for maintaining office efficiency, while providing support to the school building staff including matters of a confidential nature while handling daily work pressures, requiring constant concentration to a volume of work.
Key Responsibilities:
- Ensure Safe School Arrival by confirming attendance and monitoring attendance patterns.
Assign, organize, and review the work and duties of office assistant(s).
Perform receptionist's duties by welcoming and verifying visitors to the school and providing assistance and information to students, staff, parents, HPEDSB personnel and community members.
- Manage and maintain board accounting and purchasing under the direction of administration as required.
- Prepare new school year set-up, update information for classes, teachers, timetables, calendar, and students, Prepare end of year rollover.
- Enroll new students, and register and prepare transfer documents for students.
Qualifications:
- Minimum two-year college diploma in business studies, or equivalent required for clerical, organizational and management skills.
- Minimum two-years of professional experience in a school environment.
- Demonstrated experience working with technology and utilizing office software (ie. Google), and experience with ASPEN.
- Demonstrated experience working in an office, with experience multitasking, prioritizing and assigning work.
- Demonstrated experience communicating with various parties such as students, employees, families, etc.
- Satisfactory Vulnerable Sector Background check.
