As our portfolio continues to grow, we are looking for a highly organized and proactive Service Coordinator to support our service and maintenance operations.
Position Summary
The Service Coordinator plays a critical role in ensuring smooth move-ins and move-outs, timely repairs, and clear communication between tenants, vendors, owners, and internal teams. This role requires strong coordination skills, attention to detail, and the ability to manage multiple priorities in a fast-paced property management environment.
Job Responsibilities
- Manage Move In/Out Schedule: Oversee and update the daily move in/out schedule for vacant
units requiring refresh cleaning and/or carpet cleaning. Coordinate and schedule necessary services
prior to move-ins/outs.
- Coordinate and Managed Restoration (Damaged) Units: Assist and support with facilitating vendors,
tenants, owners, insurance adjusters, and building managements for work on damaged units. Ensure
consistent follow-up to expedite repairs and maintenance.
Tenant Billing: Post tenant service charges accurately to lease ledgers.
Coordinate Move In/Out Tasks: Arrange and oversee move in/out cleaning and repairs to ensure
units are ready for new occupants.
- Email Management: Monitor the email for important and actionable
correspondence.
Service Orders: Issue service orders for routine service requests received via phone.
Act as Service Manager Backup: Provide coverage for the Service Manager as needed.
Tenant Communication: Contact tenants to arrange access for property repairs and maintenance
and assist with overseeing portal service requests.
- Coordinate Warranty Repairs: Manage and coordinate warranty repairs, keeping all parties
informed and updated.
- Security Deposit Management: Itemize service order issues and input necessary deductions to
security deposits.
- Inspection Management: Review property inspections and contact tenants regarding necessary
changes or cleaning. Manage inspections for furnace, humidifier, and HRV filters. Input inspection
reports into digital files.
- Invoice Processing: Post invoices accurately to Buildium or relevant property management
software.
- Inspection/Access Support: Conduct move in/out inspections and provide access to vendors when
backup support is required.
- Attend Meetings: Attend weekly Casawise meetings to discuss property management updates and
strategies.
Job Type: Full-time
Pay: $40,000.00-$50,000.00 per year
