Overview
This position is responsible for administrative duties for the main office, including supporting executive assistants in their roles within their organizational business units, as well as general administration and office management duties.
ResponsibilitiesGreets/welcomes visitors to the Administration office promptly and courteously
Receives and sends courier packages and mail including weekly inter-office mail between various Silvera sites
Coordinates incoming and outgoing communication for the Administration office including general inquiries by voicemail and e-mail
Orders stationary and office supplies and oversees and coordinates office equipment at the Administration office
Supports employee onboarding logistics in coordination with Executive Assistant and People & Culture
Updates intranet with emergency on-call information and employee directories
Supports the Executive Assistant with on-call phone forwarding and related administrative tasks
Supports executive assistants with event planning for recurring internal employee engagement events and larger stakeholder events
Supports executive assistants with coordinating meeting logistics and documentation
PO processing of work orders and invoices generated by office administration
Supports internal and external communications, in the areas of:
Monitors Silvera's presence on the web and traditional media
Coordinates and maintains an inventory of all Silvera-branded swag, signage and other marketing material
Coordinates the printing and distribution of all communication and marketing materials
Uses Canva to help create posters and notices for residents and staff, in alignment with approved branding and content
Develops, maintains and helps coordinate the annual calendar of community and public events
Monitors and maintains all external housing directories
Maintains and updates the library of Silvera's creative and visual assets (i.e. templates, letterhead, photographs, videos, graphics)
Supports projects and other general administrative duties as assigned
QualificationsPrevious administrative support experience in an office setting is essential
Handles sensitive information with discretion and in accordance with Silvera's policies and procedures
Ability to multi-task projects and process a variety of assignments is essential
Exemplary customer service skills, including dealing effectively with the public
Ability to work independently with minimal supervision in a cooperative, team environment is essential
Fully proficient to advanced skill level with Microsoft Office Products is required: Outlook, Word, Excel and PowerPoint
Excellent written and verbal communications skills
Must be flexible and have the ability to respond to a variety of changing duties and work routines while meeting deadlines
May Handle confidential information
