We are seeking a proactive and driven Receptionist for our Queenston Chevrolet Buick GMC dealership. This role is a great opportunity to join a large, dynamic automotive group and play a key part in ensuring the smooth daily operations at our dealership.
Position Duties & Responsibilities
Customer Service & Front Desk Management
- Greet and assist customers as they enter the dealership, ensuring a welcoming and professional first impression.
- Answer incoming calls, direct them to the appropriate department or personnel, and provide general information as needed.
- Maintain a professional appearance and friendly demeanor to create a positive customer experience.
- Assist customers with inquiries and direct them to the appropriate team members based on dealership workflow.
Telephone & Communication Management
- Operate the dealership's phone system, including programming extensions, managing call routing, and assisting employees with phone functions.
- Manage the dealership's message and paging system, including paging staff as needed and ensuring effective internal communication.
Administrative Support
- Handle and distribute incoming faxes, ensure proper routing, and contact unsolicited fax advertisers for removal from broadcast lists.
- Prepare outgoing mail and maintain the postage meter.
- Assist the sales department by posting receipts for vehicle deposits and sales.
- Forward copies of invoices to extended warranty or leasing companies.
- Maintain an organized and clean work environment, including overseeing office equipment such as photocopiers and fax machines.
Dealership Operations Support
- Provide administrative support to the head office, including faxing invoices and submitting documents for payment.
- Perform any additional duties and tasks as needed assigned by the supervisor.
Qualifications
- Proficiency in Microsoft Office (Word, Excel) is required. Experience with CDK automotive software is a plus.
- Previous receptionist experience is considered an asset.
Skills, Knowledge and Abilities Required
- Strong customer service skills with the ability to greet and assist visitors in a courteous and professional manner.
- Friendly and professional demeanor, maintaining a polished appearance as the first point of contact at the dealership.
- Effective communication skills to engage with customers, identify their needs, and direct them to the appropriate department.
- Proficiency in proper telephone etiquette and call-handling techniques.
- Ability to answer customer inquiries over the phone or efficiently transfer calls to the appropriate team member or department.
- Familiarity with the dealership's structure to ensure accurate call and customer redirection.
- Strong written communication skills for clear and accurate documentation.
- Organizational skills to manage paperwork and maintain filing systems in accordance with dealership procedures.
- Competency in operating office equipment, including fax machines and word processing software.
