Job description

Per Se Hospitality Group is now looking for a full time, strong career minded, Office Manager to join our team. We're a growing restaurant concept looking for someone with a positive, energetic attitude that is willing to grow with the company.

Requirements

  • Experience in restaurant administration or accounting for high-volume, upper casual or fine dining establishments in BC, Canada.
  • Highly organized, accountable, and reliable, with strong attention to detail and integrity.
  • Exceptional time management skills and ability to meet tight deadlines in a dynamic environment.
  • Strong passion for hospitality and understanding of restaurant operations.
  • Able to work independently with minimal supervision and manage multiple priorities efficiently.
  • Proficient in Microsoft Office Suite and Pay works; experience with Margin Edge, Toast POS, and ANYDAY considered an asset.

Responsibilities

Financial Reconciliation and Reporting

  • Accurately reconcile daily sales and payment reports from the POS system.
  • Verify and record deposits, ensuring all cash and electronic transactions are balanced and properly documented.
  • Maintain accurate financial data for weekly and monthly reporting in collaboration with accounting.

Tip Management

  • Manage and reconcile daily tip reports using ANYDAY.
  • Ensure accurate and timely distribution of tips in compliance with company policies and labor standards.
  • Maintain detailed records of all tip allocations and adjustments for audit and payroll purposes.

Payroll Preparation (Payworks)

  • Prepare and process weekly payroll through Payworks, including regular hours, overtime, and statutory holiday pay.
  • Conduct daily missed punch and timecard audits to ensure data accuracy.
  • Maintain up-to-date employee records and documentation required for payroll processing.
  • Assist with onboarding paperwork and setup for new hires.

Data Entry and Accounting Support

  • Enter and verify invoices in MarginEdge and accounting software.
  • Track and reconcile vendor invoices, ensuring proper coding and timely submission for payment.
  • Assist in maintaining accurate cost data and vendor information to support margin and cost analysis.
  • Assist in monthly inventory counts, if necessary.

Administrative Support

  • Support management with financial summaries, reporting, and data validation.
  • Ensure compliance with internal controls, audit requirements, and confidentiality of financial and payroll data.
  • Contribute to process improvements to enhance efficiency and accuracy in financial administration.
  • Weekend/Holiday availability required.

Office Management

  • Organizes office operations and procedures; controls correspondence; manages filing systems.
  • Performs or assigns clerical functions.
  • Manages office policies by establishing and maintaining standards and procedures; measuring results against standards; making necessary adjustments.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment.

Procurement

  • Reviews and approves supply requisitions.
  • Corporate Office Liaison.

Inventory

  • Menu updates and inventory
  • FOH and BOH Supply ordering
  • Receives and verify invoices and requisitions for goods and services.

Deposits

  • Reconciles end of day POS reports, reconcile cash, prepare deposits and summarize guest receipts.

Liaison

  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Contributes to team effort by accomplishing related results as needed.
  • Ensure employees follow company policies and procedures.
  • Corresponds with guests to answer special requests or questions regarding the restaurant.

Additional duties

  • office relief and data entry for inventory systems and accounting
  • Provide general office coverage for all Vancouver locations when required
  • Perform accurate data entry for accounting and inventory systems (food and beverage tracking, vendor invoices, POS reports, etc)

Pay: $65,000.00-$68,000.00 per year
