With a newly renovated office in downtown Kitchener and a rapidly expanding client base, we are looking for a detail‑driven, organized, and proactive Deals & Listing Coordinator to support our agents and ensure seamless transaction management.

About the Role

The Deals & Listing Coordinator plays a critical role in the day-to-day operations of the team. This position supports all realtors from an administrative standpoint, ensuring listings, deals, and compliance are handled accurately and efficiently. You will be the operational backbone for our agents, managing listings, transactions, brokerage coordination, and light client follow-up while maintaining high standards of organization and professionalism.This role is ideal for someone who thrives in a structured environment, enjoys administrative work, and has strong real estate experience.

This is an in-office position at our office in Kitchener.

Key Responsibilities

Listing Coordination

  • Prepare and manage all listing documentation (WebForms, listing agreements, FINTRAC, seller direction forms, etc.)
  • Input and update listings on MLS/Matrix with accuracy and compliance
  • Coordinate photography, staging, signage, lockboxes, and showing instructions
  • Ensure all listing details, documents, and deadlines are complete and compliant

Transaction / Deals Administration

  • Review all incoming offers for accuracy, signatures, and required conditions
  • Submit deals to the brokerage (Rezen) and ensure all documents meet compliance standards
  • Track deposits, conditions, amendments, waivers, and closing documentation
  • Communicate with lawyers, cooperating agents, and clients as needed
  • Maintain accurate digital files and checklists for every transaction

Operational Support

  • Maintain organized digital filing systems (Dropbox)
  • Support agents with administrative tasks related to listings and deals
  • Assist with database updates, client follow-up tasks, and internal processes
  • Identify opportunities to streamline workflows and improve efficiency

Qualifications

Required

  • 2+ years of real estate administration experience (brokerage or team)
  • Strong knowledge of MLS/Matrix, WebForms, Sentrilock, BrokerBay
  • Excellent attention to detail and accuracy
  • Strong organizational and time-management skills
  • Ability to work in a fast-paced environment with shifting priorities
  • Professional communication skills (written and verbal)
  • Ability to work independently and follow established processes

Nice to Have

  • Experience with Rezen, Follow Up Boss, or other CRM systems
  • Canva or basic marketing support experience
  • Knowledge of Real Broker systems (training provided)

Schedule

  • Monday to Friday

  • Occasional flexibility for peak periods

Compensation

$19–$24 per hour, depending on experience.
