POSITION FUNCTION:
Under the supervision of the Managers and coordinator, the Program Support Worker provides clerical support and assistance to the Newcomers and Community Building Program in the areas of program administration, OCMS database management, program data collection and management, financial data management and day-to-day operations.
KEY DUTIES AND RESPONSIBILITIES:
- Provide administrative support to a team of approximately 18 staff
- Collect, monitor, and compile client and/or student profile and intake information, day-to-day program statistics, and quantitative data as required, and input them into the appropriate databases in a timely manner.
- Accounting support
- Prepare flyers, leaflets, and advertising for program as required.
- Prepare Microsoft Forms and manage Excel spreadsheets
- Answering staff and clients' enquiries through email, phone and in-person
- Providing information and referrals for clients and the community
- May participate in community engagement events and other internal or external events
- Prepare and organize meeting logistics, schedules, agendas, and communications to ensure efficient execution
- Coordinate the administration of a large-scale task during tax season
- Supporting the Coordinator and Manager for ad hoc duties
QUALIFICATIONS:
- Completion of post-secondary education: office administration, social sciences, humanities or an equivalent combination of education and experience
- Excellent knowledge of office procedures, equipment and software applications (word processing, spreadsheet, and database)
- Experience with administrative tasks such as filing, photocopying, emailing, minute - taking, pre-meeting and post -meeting tasks, and storing/tracking of contracts
- Strong understanding of confidentiality and privacy of client information
- Working knowledge of the immigrant and refugee experience and understanding of community resources for family and adult services
- Work independently and communicate with internal and external stakeholders / clients in a manner that promotes positive and respectful relationships
- Applies excellent time management skills to prioritize and complete assignments in a manner that optimizes departmental effectiveness and contributes to organizational success
- Practices care and thoroughness when maintaining, monitoring, calculating and summarizing data, records and budget information
- Ability to work independently with minimal supervision
- Maintains office consumables and program supplies and manages external vendors
- Able to work under pressure in a busy working environment and meet deadlines
- Collaborates with peers to ensure administrative systems and processes are consistently followed and monitored for effectiveness and that gaps are addressed and resolved when identified
- Satisfactory criminal record check
COMPENSATION: $24.82 to $25.70 per hour
HOURS: 35 hours per week; fixed term until February 13, 2026
The successful Candidate must be able to commute to the Boundary office, 5575 Boundary Rd and 310 & Kingsway Burnaby, British Columbia
