Job Summary

We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will have strong administrative, clerical, and human resources skills, with experience managing front desk activities, vendor relationships, and team coordination. This role is vital in ensuring efficient office functioning and fostering a professional environment that promotes growth and productivity.

Duties

  • Taking orders online, through e-mail, or by phone
  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Oversee administrative tasks such as filing, data entry, and maintaining organized records
  • Utilize QuickBooks for bookkeeping, and financial record keeping
  • Assist with human resources functions including onboarding, training & development, and employee record management
  • Coordinate vendor management activities to ensure timely procurement of supplies and services
  • Support team management by supervising staff, delegating tasks, and ensuring adherence to office policies
  • Handle budgeting responsibilities by monitoring expenses and preparing financial reports
  • Maintain office supplies inventory and oversee vendor relationships for office equipment and services
  • Ensure effective communication across departments through clear phone etiquette and written correspondence

Skills

  • Proven supervising experience with strong team management capabilities
  • Proficiency in QuickBooks for bookkeeping
  • Experience working at a front desk with excellent communication skills and phone etiquette
  • Knowledge of human resources processes including onboarding, training & development, and employee relations
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Experience with clerical tasks such as filing, data entry, and document management
  • Vendor management skills to coordinate procurement and service agreements
  • Familiarity with multi-line phone systems for effective communication within the office
  • Ability to handle budgeting tasks accurately and responsibly
  • Excellent interpersonal skills to foster a collaborative work environment
