The Wholesale Coordinator plays a key role in supporting COWS Creamery's wholesale operations for cheese, butter, and ice cream. This position manages the daily flow of wholesale sales orders, provides exceptional customer service to wholesale clients, and coordinates internal order fulfillment and shipping in collaboration with the Logistics Manager and production teams. The role also assists with inventory tracking, traceability of products, and communication between departments to ensure smooth, accurate, and timely delivery of COWS Creamery products to customers and internal retail stores.

Key Responsibilities

  • Receive, enter, and process sales orders for wholesale cheese and butter customers accurately and in a timely manner.
  • Generate sales orders and delivery documentation (invoices, packing slips, shipping manifests).
  • Confirm product availability, pricing, and delivery schedules with both wholesale and retail customers.
  • Collaborate daily with the Logistics Manager to schedule and prioritize deliveries for wholesale orders and internal store shipments.
  • Assist with inventory counts and reconciliations for cheese, butter, and ice cream products.
  • Receive and coordinate ice cream orders for COWS retail stores, ensuring fulfillment accuracy and clear communication with store managers.
  • Maintain accurate and up to date records on ice cream inventory and report shortages or overstock situations to the Ice Cream Manager.
  • Maintain excellent communication with wholesale customers and internal partners to resolve any issues related to orders, shipments, or product availability.
  • Support product rotation, FIFO procedures, and quality assurance standards for all warehouse and cold storage inventory.
  • Receive deliveries and maintain a safe and organized shipping area.
  • Playing an active role on the food safety team
  • Other duties as needed.

Qualifications

  • 2–3 years of experience in sales coordination, order management, customer service or logistics (food or manufacturing industry preferred).
  • Experience working with wholesale or retail distribution operations.
  • Knowledge of inventory management or warehouse operations is an asset.
  • Post-secondary education in business administration, supply chain, or a related field preferred.

  • Strong organizational and multitasking skills with high attention to detail under tight deadlines and seasonal fluctuations.
  • Excellent written and verbal communication; able to work collaboratively across departments.
  • Customer-focused mindset with a commitment to service excellence.
  • Proficient in Microsoft Office (especially Excel)
  • Forklift certification is considered an asset.

Working Conditions

  • Office and warehouse environment with occasional time in cold storage.

Pay: $40,000.00-$55,000.00 per year
