Administrative Coordinator, School of Rehabilitation Science

This role is integral to ensuring smooth operations and effective communication across the School, contributing to a positive and efficient environment for students, faculty, and partners.

Primary Purpose:

The Administrative Coordinator supports the Clinical Education Unit (CEU) and overall operations of the School of Rehabilitation Science. This position reports to the Manager of Academic Programs and Operations and is responsible for supporting clinical placement processes for MPT, MOT, and MSLP programs, supporting school communications and accommodations planning, providing administrative support to Program Chairs and the Academic Lead for Clinical Education & Community Affairs (ALCECA), and ensuring smooth, efficient operations aligned with strategic goals.

Nature of Work:

This role works in a collaborative, student-focused environment and regularly engages with faculty, staff, students, and external partners. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities with professionalism and discretion. The role demands initiative and a commitment to fostering a respectful, inclusive, and efficient work and learning environment.

Key Accountabilities

CEU Support Responsibilities

  • Provide confidential, efficient administrative support to CEU and ALCECA
  • Prepare agendas, record minutes, track action items, and ensure timely completion for CEU-related meetings.
  • Organize travel logistics and process reimbursements for CEU activities.
  • Maintain CEU policies and procedures; oversee digital filing systems.
  • Help manage CEU sections in Canvas courses and track documents required for placements ex. Criminal Record Checks, CPR requirements etc.
  • Arrange Saskatchewan Health Authority photo ID cards for incoming students
  • Assist with affiliation agreements and renewals for CEU partnerships.
  • Administer CEU financial resources under ALCECA direction, including p-card transactions, student bursaries, honoraria, and coordination with the Finance and Research Administrative Coordinator. 

Administrative Responsibilities

  • Collaborate with the administrative team to provide day-to-day support for the School of Rehabilitation Science.
  • Answer and direct phone calls, manage email correspondence, receive and distribute deliveries, handle printing and copying requests, order office supplies and course specific materials and assist with general clerical duties to ensure smooth office operations.
  • Schedule meetings and book classes, venues, and technology supports (Zoom, Teams).
  • Manage calendars for Program Chairs and arrange student meetings as needed.
  • Organize Class rep meetings with direction from Program Chairs
  • Plan and facilitate school events in compliance with university guidelines, including Orientation, Spring Awards Reception, and Graduation celebration.
  • Support graduation photos and composite creation
  • Support special projects and continuous improvement initiatives.

Communications

  • Support Communications and take direction from the Communications and Strategic Initiatives Coordinator on communications-related activities.
  • Assist with managing school communications, including social media, PAWS channel, website, and digital screens.
  • Help ensure branding, marketing, and graphic design align with USask protocols.
  • Design and create recruitment materials (print and electronic).
  • Prepare and distribute weekly student newsletters.
  • Liaise with College and University communications teams; participate in marketing round tables.
  • Engage in communications with donors related to awards
  • Reset classroom, office, and lab spaces each summer (bulletin boards, signage, etc.).

AES/APC Support

  • Schedule and support Accommodations Planning Committee meetings.
  • Organize AES exam logistics (room bookings, invigilators, exam materials).
  • Communicate AES logistics to coordinators and students.
  • Track and manage academic and clinical accommodation letters.
  • Apply AES policy knowledge to resolve and implement new accommodations.

Qualifications
Education:

  • Completion of Grade 12 (required).
  • Completion of a business or administrative program (asset).
  • A combination of education and experience may be considered.

Experience:

  • Minimum of two years providing confidential administrative support in a fast-paced, highly dynamic office environment (required).
  • Experience working and collaborating in diverse and inclusive settings (required).
  • Experience in an academic healthcare or university setting (Requiredasset).
  • Knowledge of University of Saskatchewan and Saskatchewan Health Authority regulations and procedures (asset).

Skills:

  • Proficiency in Microsoft Office programs and virtual meeting platforms.
  • Adaptable to process changes and proficient with technology tools such as Canvas, Canva, Cascade, and Copilot.
  • Strong organizational skills.
  • Ability to work independently and as part of a team.
  • Effective judgment, confidentiality, and discretion when handling sensitive issues.
  • Effective verbal and written communication skills.
  • Flexibility and openness to diverse views and approaches.
  • Ability to support strategic goals and align short-term tasks with long-term objectives.
