The Campbell River Hospice Society provides compassionate care and support to individuals and families facing grief, loss, and end-of-life. Each year, our core fundraising events play a vital role in sustaining our programs and ensuring that no one in our community has to face these challenges alone.

Position Overview

We are seeking a Contract Event Coordinator to plan, manage, and take overall responsibility for two of our core fundraising events, along with associated social media promotion and additional events as they arise.

This is a hybrid, as-needed contract position, ideal for someone who is flexible with their time, highly organized, and experienced in event coordination and social media. The successful candidate will have strong communication skills, be outgoing and creative, and love thinking outside the box to bring fresh ideas and energy to events. They will be results-driven, personable, and confident working with sponsors, volunteers, and community partners.

This role is well-suited to someone who enjoys working independently while collaborating with a dedicated team and is motivated by the opportunity to make a meaningful impact in their community.

Key Responsibilities

  • Lead the planning and execution of two major annual fundraising events.
  • Collaborate with staff, volunteers, and event committees to ensure smooth delivery.
  • Manage all event logistics, including venues, permits, vendors, décor, entertainment, catering, and rentals.
  • Manage and acquire all event sponsorship renewals and new solicitations, procuring and obtaining auction items, and coordinating sponsorship, donor, and in-kind requests required for successful events.
  • Ensure ongoing, timely communication with the supervisor, sponsors, supporters, participants, and other key stakeholders before, during, and after each event.
  • Oversee event budgets, timelines, and task lists.
  • Support sponsorship, donor, and community partner engagement.
  • Recruit, schedule, and coordinate volunteers.
  • Work collaboratively with volunteer event committees.
  • Ensure all event-day operations run smoothly, including set-up, guest experience, and tear-down.
  • Prepare post-event evaluations and reports.

Qualifications

  • Proven experience in event planning and coordination (nonprofit experience is an asset).
  • Strong organizational and project management skills.
  • Strong written and verbal communication skills.
  • Outgoing, creative, confident, and comfortable engaging with diverse stakeholders.
  • Enjoys thinking outside the box and bringing new ideas to life.
  • Strong social media and design skills (e.g., Canva).
  • Excellent computer proficiency.
  • Experience working with volunteers and community partners.
  • Flexible and able to adapt in fast-paced environments.
  • Available on a contract basis, with flexibility for peak hours leading up to and during events.
  • Drivers License and vehicle required.

Contract Details

  • Contract position, as needed (focused on two core fundraising events, plus others that may arise during the year).
  • Estimated 5–20 hours per week. (Flex)
  • Compensation: Commensurate with experience.
  • Hybrid role with flexible hours, including remote planning and required on-site presence for meetings and events.
