Operations & Business Manager for Prop Tech Start Up (Interior Design / Real Estate Focus)

We are seeking a highly organized, proactive Operations & Business Manager to oversee the day-to-day operations of a growing proptech start up business operating at the intersection of interior design, real estate, and digital services and AI.
This role replaces two existing positions and acts as the operational backbone of the company—handling billing, customer support, staff scheduling, inbound calls, social media coordination, and internal operations. You will work directly with the Founder and be trusted to keep the business running smoothly without constant supervision.
Candidates with an interior design, real estate, or property-related background are strongly preferred, as this role requires familiarity with industry workflows, client expectations, and timelines.
Key Responsibilities
Operations & Day-to-Day Management
- Manage daily business operations across multiple functions (sales, support etc..)
- Ensure internal systems, workflows, and SOPs are followed and improved
- Coordinate tasks across teams and contractors
- Identify operational gaps and proactively resolve issues
- Act as the central point of organization for the business
Billing, Invoicing & Administration
- Manage invoicing, billing, payment follow-ups, and records
- Coordinate with bookkeeping/accounting support
- Maintain organized financial and operational documentation
- Prepare concise weekly operational summaries for leadership
Customer Support & Client Communication
- Oversee customer support via email, phone, and internal platforms
- Personally handle escalations and high-value or time-sensitive clients
- Answer inbound phone calls and route appropriately
- Maintain a professional, calm, and solutions-oriented client experience
Staff Scheduling & Team Oversight
- Schedule staff, contractors, and remote team members
- Monitor workload, availability, and turnaround times
- Coordinate across time zones and project timelines
- Ensure accountability and smooth handoffs between teams
Social Media & Marketing Coordination
- Manage posting schedules and content coordination
- Work with designers, marketers, or agencies as needed
- Ensure brand consistency and timely execution
- Track basic engagement metrics and report insights
Required Qualifications
- Proven experience in operations, office management, or business management
- Strong organizational and multitasking skills
- Can speak real estate and design language
- Excellent written and verbal communication
- Comfortable with CRMs, project management tools, scheduling software, and Google Workspace
- AI experience and automation is bonus
- Able to work independently and make decisions confidently
- High level of professionalism, discretion, and reliability
Strongly Preferred Background
- Interior design, architecture, real estate, property management, or staging
- Experience working with design studios, brokerages, developers, or related service businesses
- Familiarity with design or real estate project timelines and client expectations
- Experience supporting a founder, principal, or small leadership team
