Job Summary
We are looking for an
Marketing & Workplace Manager,
to join our Vancouver team and help ensure our workplace runs smoothly, efficiently, and with a strong sense of community. In addition to core administrative and operational responsibilities, this role includes
a significant marketing support component.
You will help promote Flow's brand by assisting with social media content, proposal development, RFP responses, website updates, and coordination of project photography. Your work will help shape how Flow is represented externally while supporting our internal culture and operational excellence.
As our Marketing & Workplace Manager, you will play a central role in driving marketing efforts, administrative workflows, supporting financial processes, and fostering a positive culture. You will take ownership of the office environment—maintaining organization, accountability, and a welcoming atmosphere. You will also bring a thoughtful and proactive approach to improving processes, ensuring the team has the tools and support needed to thrive.
This role suits someone with strong attention to detail, a solution-oriented mindset, and a calm, supportive presence. You should enjoy working with people, solving operational challenges, and contributing to a workplace that values both productivity and professionalism, all while having fun.
Key Responsibilities
Marketing
- Assisting with the preparation of proposals, qualifications packages, and RFP responses, ensuring documents are clear, well-organized, and visually consistent with Flow's brand.
- Helping promote our brand through LinkedIn and other social media platforms, including drafting posts, coordinating content, and tracking engagement.
- Supporting website updates, such as refreshing project pages, updating staff bios, and maintaining consistent messaging.
- Facilitating photography of projects, including coordinating with external photographers to gather images for marketing and proposal use.
- Maintaining consistent visual identity across all outward-facing materials and ensuring marketing assets are properly organized and accessible to the team.
Finance & Administration Support
- Process payroll through Ceridian
- Support bookkeeping in QuickBooks Online (QBO), including:
- Preparing monthly invoicing
- Reconciling received payments
- Managing accounts payable
- Coordinating with our external accounting firm to provide information and respond to inquiries
Office Operations & Culture
- Manage office supplies and procurement, including stationery, snacks, and beverages
- Maintain a well-organized, efficient workspace and support smooth daily operations
- Coordinate and organize team events including socials, seasonal celebrations, and the annual holiday gathering
- Hold a sense of ownership over the office environment and foster accountability among the team
Required Skills & Attributes
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Strong written and verbal communication skills
- Highly organized with strong attention to detail
- Comfortable supporting financial and administrative processes
- Confident, approachable, and able to maintain professionalism
- Proactive mindset with interest in improving systems and efficiencies
- Enjoyment in supporting team culture and contributing to a positive work environment
- Prior experience with QBO is considered an asset, but not required.
We value our team members and firmly believe in fair compensation. The base compensation range for this role is $70,000-$85,000 annually. We acknowledge that every candidate possesses a distinct combination of skills, experience, education, and competencies, all of which will be duly considered in the offer we extend.
