We are looking for an experienced Event Specialist to join our team

About the Role

As an Event Coordinator, you will coordinate the planning and execution of events from start to finish. This is a hands-on, in-person role that spans office work, warehouse preparation, and on-site event management. You will work closely with clients, venues, and vendors to ensure every detail is executed with precision and creativity.

What You will Do

  • Ensure every event is prepared and executed with the highest level of professionalism
  • Build strong relationships with clients, venues, and event partners
  • Coordinate all event details from start to finish
  • Ensure all operational documentation (timelines, critical paths, scoped work, and logistical details) are accurate and up to date
  • Collaborate with sales to provide site visits and in-person event consultation
  • Lead event crew during pre-event packing, on-site setup, and post-event wrap-up
  • Oversee decor installations and ensure quality execution based on approved designs
  • Coordinate and manage logistics for event elements including decor, lighting, entertainment, and other key components to ensure seamless execution
  • Solve problems creatively and efficiently under pressure
  • Communicate clearly and positively with all stakeholders
  • Ensure events are delivered within budget and to the highest standards
  • Ensure safety protocols are always followed

What You Bring to the Team

  • 2+ years of proven experience as an Event Coordinator (hospitality, catering, or events preferred)
  • Strong organizational skills
  • Quality oriented mindset with a keen eye for detail with the ability to follow plans and adapt to changes on the fly
  • Strong decision-making skills
  • Ability to work both collaboratively within a team and independently when needed
  • Strong interpersonal skills, including basic conflict resolution and a calm, professional demeanor
  • Clear and confident communication, presentation, and relationship-building skills
  • Strong planning skills
  • Genuine commitment to maintaining Mountainscape's service standards, ensuring every detail supports the successful delivery of the client's vision
  • Proficiency with Google Docs/Sheets, Microsoft Office and project management tools
  • Creative problem-solving mindset
  • Strong risk mitigation skills
  • Experience with event budgets with a proven ability to work within established financial guidelines to support cost-effective execution
  • Experience or interest in decor, lighting installations, or visual merchandising
  • Valid driver's license and clean abstract; experience with delivery vehicles is an asset
  • Flexibility – evening and weekend work are common during peak seasons
  • A genuine passion for creating memorable, high-quality events
  • Polished and professional presence — our clients expect the best, and your ability to deliver a high-touch client experience sets the tone for their event
  • Standard First Aid and/or CPR certification is an asset

Your Work Schedule

Weddings and events do not always stick to a 9-to-5 — and neither do we While a typical week is around 40 hours, you will need to be flexible. Evening and weekend shifts are part of the magic, and yes, overtime may be required when things get busy. We will keep you in the loop with your schedule, and you will always know what is coming.
