We are seeking a motivated, customer-focused Service Consultant who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in delivering a "WOW" customer experience. This role blends technical knowledge, communication, organization, and sales-minded service to ensure every customer interaction is professional, transparent, and value-driven.
About the RoleAs a Service Consultant, you will be the primary point of contact for customers requiring vehicle maintenance or repair. You will listen to customer concerns, prepare accurate repair orders, coordinate with technicians, and guide customers through service recommendations with clarity and integrity. You play a vital role in driving customer satisfaction, retention, shop productivity, and overall service excellence.
RequirementsCustomer Service & Client Experience
- Greet all customers in a friendly, professional manner—both in person and by phone.
- Actively listen to customer concerns, ask relevant questions, and perform initial walk-around inspections.
- Clearly explain recommended services, maintenance needs, repair timelines, and costs.
- Apply a consultative approach to service sales, emphasizing long-term vehicle health and value.
- Provide timely updates throughout the repair process and obtain approvals before proceeding with additional work.
- Conduct post-service follow-ups to ensure customer satisfaction and address concerns.
- Deliver a consistent "WOW" experience through professionalism, education, and value-added services.
Service Coordination & Technician Collaboration
- Schedule service appointments using approved intervals to maximize efficiency and shop flow.
- Prepare detailed and accurate repair orders documenting customer concerns, inspections, and technician findings.
- Collaborate closely with technicians to ensure clear communication and productivity targets are met.
- Ensure vehicle inspections are completed prior to discussing findings and recommendations with customers.
- Monitor work in progress to ensure quality standards are met and comebacks are minimized.
Administrative & Operational Support
- Maintain accurate customer and vehicle records in approved systems.
- Prepare estimates for parts and labour and manage warranty claims when applicable.
- Assist with parts ordering, inventory returns, and warranty documentation.
- Arrange customer transportation when required.
- Distribute business cards and shop literature to support brand awareness and repeat business.
- Maintain a clean, organized workspace and uphold professional appearance standards.
- Follow all safety, environmental, and regulatory guidelines, including hazardous materials procedures.
Professional Conduct & Performance Expectations
- Demonstrate integrity, professionalism, and respect in all interactions.
- Remain calm and solution-focused in high-pressure or conflict situations.
- Manage multiple tasks accurately while adapting to changing priorities.
- Adhere to shop policies, systems, and procedures at all times.
- Participate in training and continuous improvement initiatives.
- Uphold the shop's code of conduct and contribute positively to team culture.
Qualifications & Credentials
- 1–2 years of automotive service experience preferred (dealership or service centre experience an asset).
- Strong understanding of automotive maintenance, repair procedures, and vehicle systems.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Customer-focused mindset with confidence in service recommendations and sales conversations.
- Proficiency with service department software and POS systems (experience with Protractor is an asset).
- Valid driver's license with a clean driving record.
- High school diploma or equivalent; customer service or office administration training is an asset.
- Bondable status preferred.
