Podstarter is a creative podcast agency that tells meaningful stories and builds impactful content ecosystems. We're a small, fast-moving team producing branded series, narrative podcasts, digital campaigns, and marketing assets for clients across Canada.
We're looking for an organized, proactive, detail-driven Project Coordinator who loves keeping creative work on track and clients in the loop.
Role Overview
You'll support client-facing projects from kickoff to delivery, coordinating timelines, managing tasks, booking production time, and making sure everyone knows what's happening and when. You'll work closely with the Creative Director, producers, editors, and designers to keep projects moving smoothly and efficiently.
This role combines project coordination, production scheduling, and light account support across both branded content and podcast production.

Key Responsibilities
Client & Project Support
- Support as a day-to-day contact for assigned client projects, ensuring expectations, next steps, and timelines are clear.
- Help with client onboarding, project setup, and regular status updates.
- Capture client needs, notes, and feedback, and translate them into clear tasks for the production team.
- Track approvals for scripts, edits, assets, and promotional materials.
- Keep project documentation up to date so nothing slips through the cracks.
Project & Production Coordination
- Build and maintain project timelines, task lists, and milestones across multiple podcast series and creative projects.
- Schedule and coordinate recording sessions, interviews, talent, and studio time.
- Ensure editors, producers, designers, and hosts have the information and assets they need to deliver on time.
- Maintain episode trackers, calendars, content pipelines, and post-production checklists.
- Assist with basic quality control, reviewing assets against client requirements and brand guidelines.
Team Support
- Help prepare for and run weekly internal production meetings (agendas, action items, follow-ups).
- Flag potential issues or delays early and coordinate solutions with the team.
- Keep leadership informed with clear, concise progress updates.
- Maintain a calm, professional, client-ready approach even when timelines are tight.
Qualifications & Experience
Required
- 2–3+ years experience in:
- Project coordination
- Operations or administrative support
- Or account/project support within a creative, agency, media, or production environment
- Strong communication skills (verbal + written).
- Experience managing deadlines, multiple stakeholders, and overlapping projects.
- Comfort with digital tools such as:
- Google Workspace
- Dropbox
- High attention to detail and strong organizational skills.
- Ability to turn general or vague client feedback into clear, actionable tasks.
