Role Description

Part-Time Administrative & Finance Assistant (On-Site) – Fractional Role

Location: On-site (Montreal, QC)

Type: Part-time / Fractional (hours vary weekly)

Compensation: $25/hour

Start: Immediately

We are looking for a reliable, detail-oriented Administrative & Finance Assistant to support our operations with financial organization, invoicing, expense reporting, data collection, and general admin tasks such as packing and shipping.

This is a fractional, part-time role with weekly hours planned based on project deadlines and workload. Floating or fixed hours can be discussed depending on the candidate's availability and our operational needs.

Key Responsibilities

Finance & Admin Support

  • Organize and maintain invoices, receipts, and financial documents
  • Support the preparation of expense reports and reimbursement tracking
  • Assist with basic bookkeeping preparation and internal financial tracking
  • Collect and organize project-related data and documentation (internal records, supplier quotes, purchase details, etc.)
  • Keep files organized (digital + physical) and ensure records are complete and easy to retrieve

Operations Support

  • Help with packing, labeling, and shipping orders/samples
  • Coordinate shipments and track deliveries
  • Assist with purchasing, supplies, and simple vendor follow-ups
  • Support other administrative tasks as needed (scheduling support, document formatting, scanning, etc.)

Requirements (Must-Have)

  • Proven experience in similar roles (admin assistant, finance assistant, office coordinator)
  • Strong attention to detail (accuracy matters a lot in this role)
  • Highly organized and able to manage multiple small tasks without missing deadlines
  • Reliable, punctual, and responsive
  • Comfortable working on-site and handling light physical tasks like packing/shipping
  • Confident with spreadsheets and basic tools (Google Sheets/Excel, email, shared folders)

Nice-to-Have

  • Experience with bookkeeping workflows or working with accountants/bookkeepers
  • Experience with shipping/logistics (labels, courier pickups, tracking, customs forms if applicable)
  • Familiarity with QuickBooks or similar tools

Working Style & Hours

  • Part-time, fractional position
  • Hours planned weekly based on deadlines and workload
  • Floating hours or a fixed weekly schedule can be discussed
