Job Overview
We are seeking a highly organized and proactive Operations Assistant to support the team FLASH SECURITY Services Ltd. with a variety of administrative and schedule coordination tasks.
This role is essential to ensuring the smooth day-to-day functioning of our security operations through effective administrative support, scheduling coordination, and communication with internal teams and clients.
The ideal candidate will have strong office management and multitasking skills, excellent written and verbal communication abilities, and confidence using modern digital tools. This position offers an opportunity to gain hands-on experience in administrative support, operations coordination, event planning, and project execution within a dynamic security services environment.
Responsibilities
- Provide executive administrative support, including schedule management and scheduling using Microsoft Outlook Calendar and Google Workspace.
- Assist with event planning and coordination for company meetings, security shifts, reaching client expectations
- Assist management in providing site instructions, hours, job duties, to clients with emergency contact details
- Handle front desk duties such as greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette.
- Perform clerical tasks including filing, document proofreading, transcription, and general office organization.
- Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Manage office supplies inventory and coordinate office management activities to maintain an efficient work environment.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for preparing documents, presentations, and reports.
- Support customer service initiatives by responding to inquiries promptly and professionally.
- Use DocuSign for electronic document signing processes as needed.
Requirements
- Proven experience in office management or administrative roles with strong organizational skills.
- Prior experience in executive administrative support or personal assistant roles is preferred.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and familiarity with Microsoft Outlook Calendar.
- Experience with data entry, bookkeeping, transcription, proofreading, and filing processes.
- Excellent phone etiquette skills along with the ability to handle multi-line phone systems professionally.
- Strong written communication skills with attention to detail in proofreading and document accuracy.
- Ability to manage multiple tasks efficiently while maintaining a high level of professionalism.
- Familiarity with event planning, project coordination, office management practices, and customer service standards.
- Demonstrated computer literacy across various platforms and software tools necessary for daily operations. This position is integral to maintaining organizational efficiency and supporting our team's success through effective administrative assistance.
