Office Administrator, College of Graduate and Postdoctoral Studies

Primary Purpose: To provide administrative and reception support to the College of Graduate and Postdoctoral Studies (CGPS). 

Nature of Work: Reporting to the Director of Graduate Program Services, this position operates in a busy, high-volume office, often acting as the "face" of the College. The work is diverse and moderately complex in nature requiring a good understanding of the operations of the College and the University. The volume of work is high, with competing priorities, and a need to work independently and exercise judgement regularly.  The person in this role will frequently interact with and work to support college stakeholders in a variety of media: telephone, email, and in person (upon return to campus). Effective communication skills are essential.
 Typical Duties or Accountabilities: 

  • Manage the CGPS reception area including:
    • Answer main phone – answer questions or direct inquiry to appropriate CGPS team member or appropriate external unit
    • When we return to campus, greet in-person student/public/staff traffic – answer questions or direct as appropriate 
    • Serve as backup support for the Dean's Office or the Awards Office as needed
  • Independently manage the College's general email account ) – answer inquiries and refer to other subject matter experts as appropriate and when necessary
  • Complete the authentication, verification, and indexing of incoming graduate student admissions documentation. Responds to related questions from academic units as a subject-matter expert. 
  • Liaise with members of the TLSE admissions team, including the credential evaluation team, to consult on document/credential evaluation and authentication for the purposes of admissions. 
  • Contribute to the maintenance of paperless student files using the Banner Document Management (BDM) system, including authenticating, verifying, and indexing incoming graduate student admissions documentation. 
  • Provide assistance to CGPS team members during periods of high work volume to support items of strategic importance.
  • Collaborate with Student Accounts and Registrarial Services on matters related to graduate application fees, including facilitating the issuing of waiver codes and associate journal vouchers, resolving Moneris disputes, and processing refunds, updating RMS Recruit fields where necessary.
  • Other related duties as assigned

Qualifications:

Education: A high school diploma and completion of some relevant post-secondary training (e.g. certificate program, business diploma, etc.) is required. An undergraduate degree is an asset.

Experience: A minimum of three years related experience in a post-secondary institution. Direct experience in graduate program administration and student services is considered an asset. Experience with Banner Student, including Banner Document Management, and RMS Recruit is required. Experience and proficiency with Microsoft Outlook and Microsoft Office Suite is required. 

Skills: It is essential that the incumbent be reliable and punctual. Strong customer service skills are a must. Effective interpersonal and communication skills, both written and verbal, must be demonstrated. Ability to maintain attention to detail and apply critical thinking skills is essential; demonstrated effective organizational and time management skills; proven ability to work on multiple duties and manage competing demands; demonstrated ability to logistically track and follow up on action items; ability to work independently with minimal supervision and as part of a team; proficient in the use of Microsoft Office software products. Demonstrated knowledge of Graduate Programs, Student Information Systems, and student services on campus is required.
