Position Overview

The Clubhouse & Administrative Manager is responsible for overseeing the daily operations of the clubhouse and managing the organization's administrative functions. This role ensures smooth day-to-day activities, maintains vendor relationships, and supports organizational efficiency through policy development, resource management, and administrative support.

Reporting directly to the Executive Director, the Manager works closely with staff, volunteers, and service providers to maintain a safe, efficient, and welcoming environment for all members.

Clubhouse Oversight

  • Ensure the clubhouse environment is safe, welcoming, and well-maintained.
  • Oversee procurement of supplies and equipment.
  • Coordinate with service providers for maintenance and repairs.

Administrative Management

  • Manage all administrative functions, including record-keeping, donor management, and compliance.
  • Develop, implement, and maintain organizational policies and procedures.
  • Oversee third-party IT service providers to ensure technology systems run efficiently.
  • Manage phone system operations and troubleshoot issues as needed.
  • Liaise with external vendors and service providers to ensure quality and cost-effectiveness.
  • Provide report and IT support at quarterly Board Meetings.

Event Support

  • Assist with planning, coordination, and execution of organizational events.
  • Ensure smooth logistics and resource availability for programs and activities.

Financial & Operational Support

  • Monitor clubhouse-related expenses and ensure adherence to budget.
  • Support leadership with administrative reporting and documentation.

Staff & Program Support

  • Manage onboarding, payroll, benefits administration, and HR policies.
  • Provide day-to-day support to staff and volunteers.
  • Foster a positive workplace culture rooted in teamwork and respect.
  • Provide administrative and coordination support for programs.

Qualifications

  • Post-secondary education in Business Administration, Office Management, or a related field.
  • 3–5 years of experience in administrative or operations management.
  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and familiarity with IT/database systems management.

Working Conditions

  • Full-time position based at the clubhouse.
  • Occasional evening or weekend work may be required for events.
  • Responsible for opening and closing the clubhouse.
  • Provide administrative support as required.
