Position purpose:

Reporting to the Talent Acquisition Supervisor, coordinates and supports talent acquisition activities and ensures related processes are carried out effectively and in line with established guidelines. Responsible for the coordination, analysis and processing of information and applying policies, procedures and collective agreements. Handles all administrative tasks to support the Talent Acquisition Advisors with their recruitment files. Manages information related to talent acquisition within several HR Information systems, and ensures the integrity of critical employee data required for the Talent Acquisition and Workforce planning team to achieve objectives and service excellence.

In this role, your responsibilities will include:

  • Talent Acquisition: Ensures policies and terms of collective agreements are followed when creating employment contracts by analyzing and validating information provided by faculties and services. Analyses employees' previous service to determine eligibility to benefits and continuous service, with the objective of ensuring that all entitlements are honoured. Communicates with faculties and services to ensure the accuracy of data received. Responsible for finalising the staffing in the recruitment process. Responsible for the team's generic email inbox and strives to ensure service excellence by responding promptly and by addressing all inquiries. 

  • HR information systems: Takes a lead role in ensuring the integrity of the data including dates of reference for employees and position information within several HR information systems. Enters and analyzes data from various data sources and highlights issues and opportunities for improvement related to the various tools. Supports projects related to HR information systems, acts as the principal tester for new initiatives and engages the team in ongoing efforts related to data quality improvements. 

  • Reporting and continuous improvement: Contributes to continuous improvement initiatives to enhance processes, practices and tools by proposing solutions to problems, by preparing reports on talent acquisition, and by generating statistics to support various performance indicators. Manages all records related to talent acquisition activity, and maintains the integrity of critical data. Ensures all records are up to date and accessible by others in support of the smooth operations of the Talent Acquisition team.

What you will bring:

  • Knowledge of human resources, normally acquired through a college diploma, or relevant work experience

  • A minimum of 3 years of experience in human resources

  • Experience with HR management systems

  • Experience working with a applicant tracking system constitutes an asset (ex: NJOYN, Workday)

  • Experience analyzing, applying and implementing policies and procedures     

  • Experience working in a unionized environment constitutes an asset

  • Strong knowledge of recognized principles and practices related to human resources management

  • Experience preparing, analyzing and presenting reports

  • Ability to produce high quality work under pressure while meeting strict deadlines 

  • Knowledge of computer systems and applications such as Windows, word processing software, spreadsheets, presentation software, relational databases, email and the Internet

  • Strong organizational skills to manage ongoing conflicting priorities

  • Bilingualism - French and English (spoken and written)
