Trading & Accounts Coordinator

Autonomy Financial Planning in Vineland is seeking a Trading & Accounts Coordinator to join our collaborative, detail-oriented team. This role blends client service, transaction support, and meeting preparation in a small-office environment where consistency, accuracy, and positive energy matter.
Prior financial services experience is an asset, but not required — we're happy to train the right person. A securities license is not required to start, and we will support the successful candidate in becoming licensed as they grow in the role.
What We're Looking For
- 2–3 years in a client service or administrative role (financial services experience an asset)
- Preference for candidates with the Canadian Securities Course (CSC) or interest in pursuing licensing
- Strong organizational skills and a naturally detail-oriented mindset
- Personable, upbeat, and comfortable interacting with clients
- Dependable, accountable, and calm under pressure
- Tech-savvy and adaptable to new tools and systems
Key Responsibilities
Trading, Transactions & Account Administration
- Process all client account transactions including new accounts, transfers, trades, contributions, withdrawals, etc.
- Liaise with custodians and back-office systems to ensure timely and accurate execution
- Register Fund Facts and ensure all investment documentation is properly filed
- Communicate and take client trading instructions (once/if licensed)
Client Service, Meeting Prep & Follow-Up
- Prepare meeting packages including updated proposals, reports, and summaries
- Draft agendas, strategy notes, and supporting materials
- Execute and track post-meeting follow-ups to ensure all commitments are completed
- Maintain accurate and up-to-date CRM records
Tax Package & Compliance Support
- Compile and coordinate annual tax packages for clients
- Maintain regulatory forms such as W-8BEN, KYC updates, etc.
- Uphold strict confidentiality and compliance standards
Fee & Reporting Administration
- Manage trustee and advisor fee collection through IPC and Paragon programs
Team Collaboration & Office Support
- Support marketing initiatives, newsletters, and client events
- Contribute to a positive team environment
- Assist with front-office responsibilities as needed (phones, greeting clients) but not as a primary role

Compensation
- Hourly Range (Unlicensed): $20–$24 per hour depending on experience
- Hourly Range (Licensed): $25+ per hour and depending on experience and licensing
Job Type: Full-time
Pay: From $20.00 per hour
Expected hours: No more than 40 per week
