Job Description: Trade Show Coordinator

Position Summary

The Trade Show Coordinator is responsible for planning, organizing, and executing all aspects of a company's trade show and event participation. This role ensures that events are professionally executed, brand-aligned, and deliver strong lead generation and marketing impact. The coordinator works closely with marketing, sales, vendors, and event organizers to manage logistics, budgets, timelines, and onsite operations.

Key Responsibilities

  • Plan and coordinate all logistics for trade shows, conferences, and industry events.
  • Manage event timelines, budgets, contracts, and deadlines.
  • Organize booth design, setup, shipping, materials, and equipment.
  • Serve as the primary point of contact with event organizers, vendors, and internal teams.
  • Coordinate travel arrangements and schedules for attending staff.
  • Oversee onsite event operations, ensuring smooth setup, teardown, and attendee engagement.
  • Manage event marketing materials, promotional items, giveaways, and digital assets.
  • Track and manage event leads; support post-event follow-up processes.
  • Evaluate event performance, ROI, attendance metrics, and overall effectiveness.
  • Maintain and update event calendars, documentation, and reporting.
  • Ensure brand consistency across all event materials and interactions.

Qualifications

  • Bachelor's degree in Marketing, Communications, Business, or a related field (preferred).
  • 1–3+ years of experience in event planning, trade show coordination, or marketing support.
  • Strong organizational, project management, and multitasking skills.
  • Ability to work under tight deadlines and manage multiple events simultaneously.
  • Excellent communication and vendor-management abilities.
  • Proficiency with Microsoft Office, project management tools, and event software.
  • Willingness to travel and work flexible hours during events.

Pay: $40,279.70-$65,464.00 per year
