Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
  • Perform data entry and maintain accurate filing systems, both physical and digital, utilizing tools like Google Workspace and Microsoft Office.
  • Coordinate calendar management, schedule appointments, meetings, and conference rooms for staff members.
  • Support office management tasks such as supply inventory, order processing, and basic bookkeeping using QuickBooks or similar software.
  • Provide customer service support by addressing inquiries via phone or email, offering friendly assistance and problem resolution.
  • Assist with clerical tasks including proofreading documents, preparing reports, and ensuring accuracy in all communications.
  • Handle miscellaneous administrative duties such as photocopying, faxing, organizing files, and supporting personal assistant responsibilities when needed.

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent computer literacy with familiarity in data entry, proofreading, and document management.
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
  • Previous experience working as a receptionist or in customer support roles such as dental or medical receptionist is advantageous.
  • Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping (QuickBooks experience preferred).
  • Exceptional phone etiquette skills combined with professional demeanor and interpersonal skills.
