Administrative Assistant Team Lead

Gas Liquids Engineering (GLE) is a well-established, privately-owned engineering firm providing EPCM services to the energy industry, including project management, engineering, drafting and design, procurement, construction management and regulatory services. GLE's specialties include natural gas processing, CCUS (carbon capture, utilization and sequestration) and power generation.

We are seeking an Administrative Assistant Team Lead to oversee day-to-day administrative operations and support our management, engineering, and drafting teams. This role reports directly to the Operations Manager and acts as the primary coordinator for office administration, workflow management, and front-of-house operations.

The ideal candidate is organized, proactive, adaptable, and confident in leading a small administrative team while maintaining a high standard of client service and professionalism.

As a member of our admin team your responsibilities will include, but are not limited to:

  • Lead, coordinate, and support the Administrative Assistant team in daily office operations.
  • Assign and oversee workflow to ensure timely completion of administrative tasks and team projects.
  • Provide administrative support to management and engineering staff, including copying, scanning, printing, formatting documents, travel arrangements, and preparing reports, presentations, and proposals.
  • Monitor and manage shared inboxes, ensuring timely response and appropriate task delegation.
  • Support front-desk operations: greet visitors, manage sign-ins, oversee switchboard coverage, and maintain a professional front office environment.
  • Coordinate deliveries, couriers, catering, and inter-office mail.
  • Oversee building maintenance logs, schedule repairs, and coordinate trades for facility-related issues such as HVAC, plumbing, and equipment servicing.
  • Maintain office and kitchen supply inventories and ensure all common areas remain organized and fully stocked.
  • Assist in planning and executing company events, including Stampede, Halloween, and Christmas functions.
  • Support ongoing operational initiatives and collaborate with team members across the organization.

Requirements:

  • Minimum ten years of full-time administrative or office support experience, with at least three years in a senior, lead, or coordinating role preferred.
  • Post-secondary education or equivalent practical experience is an asset.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), MS Visio, Publisher, Adobe DC Pro, and other relevant office software.
  • Experience creating brochures, pamphlets, and other marketing or business development materials using graphic design tools is an asset.
  • Strong understanding of building operations, maintenance coordination, and working with trades.
  • Excellent communication and listening skills with a professional, courteous demeanor.
  • Strong organizational, problem-solving, and decision-making abilities.
  • Ability to manage multiple tasks with accuracy, attention to detail, and sound judgment.
  • Adaptability in a fast-paced environment and the ability to lead by example.
  • Collaborative mindset with the ability to support and guide team members.

Pay is commensurate with experience.
