You As a Proposal Specialist

  • Support the Proposal Manager with timely management and production of proposal responses (RFP, RFQ, EOI, SOQs, etc.).
  • Support pursuit teams throughout the RFP submission process, including supporting strategy development, scheduling and attending meetings, taking minutes, managing pursuit documentation, and coordinating with contributors/SMEs.
  • Writing and editing proposal content including executive summaries, project descriptions, qualification summaries, project methodology and resumes.
  • Lead status and review meetings to ensure pursuit teams are informed about the latest proposal requirements and on schedule with their assigned contributions.
  • Manage the design and presentation of proposal content and packaging to ensure visual clarity and consistency with EllisDon brand standards.
  • Be accountable for all aspects of proposal management for assigned proposal and pre-qualification submissions. This will involve directly working with the Proposal Manager, technical content leads, and subject matter experts to ensure that proposal process, design, content, and relationships are effectively managed on assigned pursuits.
  • Develop, update and maintain data for proposals, such as detailed project challenges and solutions, project profiles, area statistics, resumes, references, etc. for use in future proposal responses.

Is this the right role for you?

  • You have 3 – 5 years of professional work experience coordinating teams to develop technical corporate proposals, preferably in the construction, architecture, or engineering industry.
  • You have a Degree or Diploma in Commerce/Marketing/Communications, or an equivalent background in marketing, communication, graphic design, project management, or administration. Knowledge of construction would be considered an asset.
  • You are comfortable collaborating with teams to meet deadlines, taking a proactive approach to keeping projects on track.
  • You have strong process skills involving the efficient scheduling, coordination, and execution of complex projects under challenging timelines.
  • You have strong writing and proofreading skills. You pay particular attention to content with regards to copy writing, editing, grammar, spelling, and punctuation.
  • You have a strong design sensibility and pay particular attention to the visual clarity and consistency of information.
  • You have the ability to work collaboratively and be a team player.
  • You are well versed with Microsoft 365 (specifically Word and PowerPoint). Working knowledge of the Adobe Creative Suite (particularly InDesign) would be considered an asset.
