IT Operations Manager
to support our digital infrastructure and ensure operational efficiency across the organization.

Position Overview

The
IT Operations Manager
(Volunteer) is responsible for maintaining ALL's technology environment, supporting staff and team members with digital tools, and ensuring the reliability of systems that facilitate communication, project management, data tracking, and organizational productivity. This role requires strong expertise in Microsoft 365, advanced proficiency in Excel, and familiarity with project management platforms including Planner tool, JIRA, and Microsoft Loop.

Key Responsibilities

Daily Systems Check-In

The Manager will conduct daily systems monitoring for approximately 30 minutes to 1 hour, at least 4 days per week. This includes reviewing Team activity, IT service requests, tool access, system notifications, Planner and JIRA board updates, and identifying any issues requiring attention or escalation.

Microsoft 365 and IT Systems

Manage and support all Microsoft 365 applications, including Teams, SharePoint, OneDrive, Outlook, Planner, and Loop. This includes managing user access and permissions, supporting digital onboarding, maintaining file structures, monitoring system usage, and troubleshooting technical issues as they arise.

Project Management Tools

Support the organization's project management environment by maintaining and guiding team use of Planner and JIRA (essential), and Microsoft Loop where required.

Assist in the setup of boards, workflows, tracking structures, and digital project plans to ensure alignment with organizational processes and objectives.

Data Analytics and Reporting

Collect and analyze data from Microsoft 365 and related systems to assess engagement, adoption, and productivity trends.

Prepare reports and insights for leadership to support informed decision-making and identify opportunities for improving workflow efficiency.

Excel and EOS Framework Support

Oversee and maintain essential Microsoft Excel documents used for planning, tracking, reporting, and EOS (Entrepreneurial Operating System) scorecard management. This includes updating key data, maintaining formulas and dashboards, and ensuring the accuracy and clarity of documents used by leadership and project teams.

Team Coordination and Technical Support

Provide ongoing support to staff and team members in navigating digital tools and systems.

Assist with digital onboarding, ensure members have appropriate access to tools, and offer guidance on best practices to enhance collaboration and productivity.

Required Skills and Qualifications

  • Strong expertise in Microsoft 365 is required, including Teams, SharePoint, OneDrive, Outlook, Planner, and Loop.
  • Advanced proficiency in Microsoft Excel is essential, including formulas, formatting, dashboards, and data organization.
  • Experience with JIRA and Planner is required, and familiarity with Microsoft Loop is preferred.
  • Candidates must be capable of completing reliable daily systems check-ins, analyzing data, preparing reports, and supporting system-related inquiries.
  • Strong organizational, communication, and troubleshooting abilities are also required.
  • Experience with the EOS framework is an asset.
