Prodigy Group is looking for a Compliance Specialist to support our growing team The Compliance Specialist is responsible for managing and maintaining Prodigy's internal and external compliance requirements across client and vendor compliance platforms. This role is ideal for someone who's highly organized, detail oriented, communicates clearly, and takes pride in keeping documentation accurate and up to date.

As a Compliance & Platform Specialist, you'll be responsible for:

Compliance Monitoring & Management:

  • Manage the day-to-day use of compliance platforms (e.g., Avetta, ISNetworld, Coupa, ComplyWorks) to support required client, safety, regulatory, and organizational standards.
  • Maintain Prodigy's compliance status across platforms by ensuring required documentation is current (e.g., certifications, insurance, clearances, policies, forms).
  • Monitor dashboards, notifications, and expiry dates; follow up with internal teams and external vendors/subcontractors to collect missing or updated documents.
  • Reviews and assesses compliance reports generated by these platforms to identify gaps, risks, and areas for improvement.
  • Serves as a subject matter expert on compliance platform functionality, requirements, and best practices across the organization.

Prodigy CRM administration:

  • Ensures accurate entry and update of customer information in Prodigy CRM, including contact details, communication history, sales opportunities.
  • Maintains and organize data in a clear, consistent, and easy-to-access format to support team collaboration and decision-making.
  • Implements and enforce standardized processes for CRM maintenance, ensuring that all users of the CRM follow best practices for consistency.
  • Monitors data input to ensure adherence to naming conventions, categorization standards, and other organizational guidelines.

About You:

The successful candidate will have the following:

  • Post-secondary education in project management, business administration, or a related field (or equivalent experience).
  • Admin/coordinator experience or relevant experience in compliance administration, documentation management, or vendor/client compliance coordination is an asset. If you've worked in admin, operations coordination, document control, or office support, you'll likely do well here.
  • Experience using compliance portals/platforms (e.g., Avetta, ISNetworld, ComplyWorks, Coupa, etc.) is considered an asset.
  • Extremely organized, detail-oriented, and consistent with follow-through.
  • Confident with tools like Outlook, Excel, and shared folders (SharePoint/OneDrive/Google Drive).
  • Strong written and verbal communication skills.
  • Strong time management and ability to prioritize competing requests.
  • High integrity and accountability.
  • Willingness to learn, adapt, and take initiative in a fast-paced environment.
