Job Summary
The Community Placement Coordinator (CPC) will work with our faculty, staff, students, and community partners and reports to the School Director. The key role of the CPC is to provide administrative oversight of the undergraduate practicums and to represent the School of Health and Exercise Sciences in maintaining and fostering new community partners.
Work Performed
Coordinate Practicum Placements
- Oversee the coordination of practicum operations to ensure the program functions smoothly.
- Develop, implement, and maintain a centralized tracking system that captures detailed information on all community partners, including contact details, placement history (past and present), site focus, roles and responsibilities, and available opportunities.
- Ensure practicum information and documentation are well-organized, easily accessible, and regularly updated for faculty, staff, and students.
- Manage program timelines and deadlines, coordinating communication and deliverables across stakeholders to facilitate smooth placement processes each term.
- Anticipate future needs and plan proactively for upcoming terms, considering partner capacity, student placement demand, and program development opportunities.
- Collaborate with faculty and staff while maintaining a high level of independence, organization, and attention to detail in managing program systems and processes.
Recruit Community Partners and Place Students:
- Foster community relationships and enlist community partners and professionals
- Develop and implement an annual orientation for students and community partners that clearly communicates all practicum expectations
- Negotiate suitable placements for students by identifying educational and program needs.
- Thanking the community partners formally.
Assure Safety and Accreditation Requirements
- Ensure the School employs a systematic approach to evaluate and collaborate with community partners that offer student placements, while also meeting accreditation and legal requirements for worker safety during practicum placements.
- Administer a disaster plan that guides the School in responding to individual accidents and mass disasters occurring off campus, or when there are warnings of a potential disaster. Ensure a legal contract approved by UBC is in place for every community partner.
- Confirm that all necessary insurance and liability agreements are established and validated before a student is placed with community partners.
Administrative Tasks
- Updating and editing Undergraduate practicum and independent study manuals as required.
- Attends regular School meetings and providing updates to School leadership regarding concerns brought forward by community partners
- Performs other related duties as necessary
Consequence of Error/Judgement
This position is required to work independently, and make swift, accurate decisions on their own. The CPC is responsible for determining the placement of HES students for their practicum experience, a task that must be executed efficiently while also evaluating the compatibility between students and agencies. Poor decisions regarding local and distant field placements can diminish the quality of a student's learning experience and harm community relationships. Furthermore, an ill-considered placement can lead a student to abandon the assignment, necessitating an additional term at the university. This not only incurs financial costs for the student but also delays their entry into the workforce.

Minimum Qualifications
- Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.
- Willingness to respect diverse perspectives, including perspectives in conflict with one's own.
- Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion
Preferred Qualifications
- Related practicum placement experience or the equivalent combination of education and experience.
- Experience serving in planning, management or educational capacity with a large university, non-profit organization or government agency.
- Knowledge of the health and exercise sciences field.
- Strong project management skills would be an asset
- Strong verbal and written communication skills.
- Strong skills in word processing, spread sheets or databases, (MS Office) email, electronic calendaring, and simple graphics software. (Adobe)
