Event Coordinator

The Rotary Centre for the Arts is seeking a creative, organized, and community-minded Event Planner to support the return of the
Ecotone Festival,
taking place June 19–20, 2026. This part-time contract role is ideal for someone passionate about the arts, sustainability, event production, and working with diverse creative communities. Estimated planning and execution time – total hours over six months.
Ecotone is a multidisciplinary festival celebrating the intersections of art, ecology, experimentation, and community connection. Guided by a Festival Curator and overall guidance from the Centre's Executive Director, this year's event will feature installations, performances, soundscapes, storytelling, hands-on workshops, and zero-waste initiatives.

ROLE OVERVIEW
The Event Planner will work closely with the Executive Director, Programming team, and Festival Curator to support the coordination and delivery of festival activities, including:
KEY RESPONSIBILITIES
- Assist with planning, scheduling, and coordination of festival events and installations
- Support the artist submission process and communications (Feb–April)
- Liaise with Festival Curator/participating artists on logistics, tech needs, and scheduling
- Assist in volunteer coordination with the volunteer manager and festival-day staffing schedules
- Help develop and execute zero-waste and sustainability practices
- Coordinate timelines with RCA staff
- Coordinate with marketing and outreach planning
- Assist with load-in, festival operations, and festival teardown
- Support post-event reporting and evaluation
WHAT WE'RE LOOKING FOR
- Experience in event planning, festival coordination, arts administration, or community programming or the right person with the skillset seeking experience.
- Strong communication and organizational skills
- Ability to work collaboratively and independently
- Interest in sustainability, community engagement, or eco-conscious practices
- Comfort working in a creative, fast-paced environment
- Availability for flexible part-time work from January–June, with on-site commitment during festival weekend
