Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton.

This position is responsible for administering one of the largest student awards programs at the University of Alberta, with over $1.6 million in undergraduate awards that fund over 500 awards annually, and up to $80,000 in annual graduate awards. The incumbent liaises with Student Financial Services (SFS) in the Office of the Registrar to ensure there are nominations for all Faculty of Law undergraduate awards, and works with Law's Assistant Dean, Development, to develop criteria for new awards that meet donor priorities and also align with Law priorities and award administration, contacting donors to request funds when appropriate.

The incumbent completes a comprehensive evaluation for all undergraduate students to assess eligibility for awards, incorporating students' financial status and needs. This position provides financial advising to students that includes details on all sources and types of available funding. The incumbent also oversees awards events, working closely with other staff in Law to ensure the success of these events. The Financial Aid and Award Program Coordinator also works closely with the Associate Dean, Graduate Studies, to administer graduate awards.

Founded in 1912, the Faculty of Law is Western Canada's oldest law school and a national leader in legal education and scholarship. With approximately 525 JD students and a robust graduate program, it is home to four research groups that provide critical insight and policy expertise: the Wahkohtowin Law Governance Lodge, Health Law Institute, Centre for Constitutional Studies, and Alberta Law Reform Institute.

Awards Administration

  • Develop award processes for the Faculty of Law, ensuring all students have information about available awards, and ensuring awards information on Law's website is complete and up-to-date to ensure fair and equitable access to all law students.
  • Create and oversee award adjudication policies and ensure donor criteria and wishes are met for awards supported by donated funds, including endowments. Work with the Assistant Dean, Development, to develop criteria for new awards that meet donor priorities and align with Law priorities and award administration. When appropriate, contact donors to request funds.
  • Review and rank student applications for awards, and select the award nominee for course prizes and awards with criteria for final approval by the Chair of the Prizes & Awards Committee. For all other awards, prepare information on student eligibility for the Prizes & Awards Committee for the Committee to make the nomination selection, utilizing awards expertise to assist with the nomination process.
  • Confirm awards budgets with the Faculty General Manager and liaise with SFS on the Faculty of Law award budgets and processes. Work with SFS throughout the academic year to ensure undergraduate award nominations are successful.
  • Maintain comprehensive statistical data on awards that is used for marketing in Law, including in faculty publications.
  • Work with Associate Dean, Graduate Studies to determine eligibility for graduate awards funded by the Faculty of Law, including recruitment awards funded from endowments, and process awards and nominations based on eligibility and need, which may be determined by the Associate Dean, Graduate Studies, and work with the Associate Dean, Graduate Studies and the Faculty of Graduate & Postdoctoral Studies (GPS) to ensure applications for University awards external to Law and the University are submitted on time with accurate information.
  • Provide support to Law Prizes & Awards Committee, including organizing meetings and meeting materials.

Financial Aid and Advising

  • As the primary resource, provide expert advice on awards available from Law, the University of Alberta and external sources (including federal and provincial student loans and private lending organizations).
  • Provide one-on-one advising to students on Law financial assessment processes to assist them in positioning themselves for the best evaluation outcome, and explain how to interpret interest rates and use credit to the students' best financial advantage, including information on the difference between and advantages of a student loan versus a student line of credit.
  • Maintain current information on funding sources and keep abreast of current interest rates, repayment schedules, payment waiver, grandfathering of payment waiver and other details to provide the best advice to students

Events

  • Work with staff in Law to schedule, organize, and coordinate major annual award events, ensure award recipients and donor information is accurate and work with Events, General Administrator and Communications Partner on invitations, marketing and event logistics.
  • Liaise with donors (including senior partners of law firms) to coordinate recognition at the annual Prizes & Awards event, confirm attendance of students and donors, and attend events to ensure those in attendance are appropriately recognized and manage on-site event logistics.

  • Undergraduate degree in an appropriate discipline preferred.

  • Experience working in a post-secondary environment, with a preference for University of Alberta experience.
  • Experience administering undergraduate and/or graduate awards.
  • Knowledge of provincial and federal student aid programs.
  • Effective time management to resolve conflicting priorities and meet tight deadlines.
  • Excellent interpersonal skills.
  • Excellent oral and written communication skills.
  • Experience with post-secondary student awards is an asset.
