End Date: August 31

Timescale: 35 hours, 5 days per week (guaranteed minimum; maximum 40 hours, 5 days per week)

Location: Canmore, Kananaskis, and Banff

Report to: Program Administrative Coordinator

Position Overview

We are seeking a dedicated Summer Program Administrator to join our team and support the smooth operation of our organization. The ideal candidate will be highly organized, detail-oriented, able to multitask, reprioritize tasks on short notice, and passionate about our mission to empower individuals through sports and recreation.

Roles & Responsibilities

  • Provide general administrative support to the program and bookings departments, such as answering phones, responding to emails, and assisting with data entry tasks. Collaborate with team members to streamline processes and improve efficiency.

  • Communicate booking details and updates to relevant staff members and guests

  • Coordinate participant registration processes, ensuring that all necessary paperwork and waivers are completed accurately and on time.

  • Serve as the primary point of contact for clients, providing assistance and information regarding booking procedures, availability, and pricing. Address inquiries and resolve any issues or concerns in a professional and timely manner.

  • Support Volunteer Coordinator with communicating volunteer schedules and assignments, ensuring that volunteers are properly briefed and equipped to support participants.

  • Support program coordinator with program logistics and scheduling 

  • Other duties as assigned

Requirements

Qualifications:

  • Clear Vulnerable Sector Check

  • High school diploma or equivalent; associate or bachelor's degree preferred.

  • Previous experience in a similar administrative role.

  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.

  • Excellent communication skills, both written and verbal, with a customer-focused approach.

  • Proficiency in computer applications such as Google Suite (Docs, Sheets, Mail) and booking software/systems (Better Impact, Homebase, Checkfront).

  • Attention to detail and accuracy in data entry and record-keeping.

  • Ability to work effectively both independently and as part of a team.

  • Consistent, reliable, trustworthy
